Front Desk Coordinator
As the Front Desk Coordinator this role serves as the first point of contact for clients, visitors, and employees. This role is responsible for creating a welcoming and professional environment and managing the front desk operations.
JOB TASKS AND RESPONSIBILITIES
- Answer central telephone system, direct and screen calls, take and relay messages in a professional and cheerful manner.
- Greet visitors entering and leaving the office in a professional and warm manner.
- Distribute and manage incoming/outgoing mail daily; pickup and delivery of express mail services (USPS, UPS, FedEx, etc.)
- Prepare meeting rooms, including setting up equipment and refreshments.
- Coordinate birthday celebrations for office employees and monitor the birthday calendar.
- Maintain office supplies and place appropriate orders.
- Maintain kitchen areas for quick clean-ups, prepare coffee, and keep snack bins stocked.
- Assist Executive Administrative Assistant with projects and special events.
- Order meals for office lunches and meetings.
- Act as point of contact for vendors (water, recycling, cleaning & trash services).
- Assist in billing and invoicing when needed.
- Other duties as assigned.
QUALIFICATIONS, SKILLS, AND EXPERTISE
- High school diploma or equivalent required.
- A minimum of one-year experience in an office setting performing clerical duties.
- Strong customer service skills.
- Positive attitude and strong work ethic.
- Strong verbal and written communication skills.
- Possess great interpersonal skills/professional but personable phone skills.
- Strength in accuracy and attention to detail.
- Proficient in Microsoft Word and Excel.
