Overall Job Function:
The Administrative Coordinator will oversee the FCS administrative processes and functions. They will be responsible for creating and improving administrative processes as well as training other staff on these processes. They will support various teams within the organization with duties including but not limited to various accounting projects and tasks and keeping financial records updated. This individual will support all divisions within the company.
Essential Job Functions:
- Manage the administrative support staff, along with coaching & mentoring staff.
- Provide real-time information and guidance to staff requiring assistance with day-to-day procedural questions.
- Assist Administrative staff with the development of process improvement solutions, write and create new processes for the administrative team, identify process efficiencies and implement process changes that will improve operations and workflows.
- Process and pay invoices, purchase order, receiving practices and expense reports.
- Maintains accurate records for all areas of responsibility including electronic and paper records.
- Takes the lead on special projects when needed.
- Establish and complete daily, weekly, and monthly office procedures.
- Has expert knowledge of FCS utilized computer software and Microsoft Office.
- Able to communicate effectively with customers and staff to manage and assist with questions.
- Assists customers with various needs, such as counter sales, questions, complaints, and solutions
- Identify needs and develop processes, policy communications, and training for teams through onboarding, training, Q&A, reporting, research, collaboration, resources, strategic planning, and connectivity with other team members.
- Schedule, lead, and attend select meetings and select events to gain knowledge and provide support to maximize the effectiveness of the team.
- Operates scale and completes all related paperwork for scale traffic / grain recording.
- Assists in other areas of location if needed or asked – other duties as assigned.

Qualifications:
- High school diploma or GED.
- Prefer 2 years’ experience in the business/accounting field.
- Minimum of 3 years’ experience working and/or performing in leadership roles
Work Requirements:
This position is based in a fast-paced office setting. Equipment utilized will be a computer, phone, fax, copy machine and other standard office equipment. Typical office hours are Monday to Friday daytime hours; weekend / holiday and evening hours as deemed by customer demand. Position will occasionally be exposed to elements, loud noise, and agricultural equipment and may require travel between FCS locations.
While performing job functions the employee will be required to talk and hear most of the time. The employee will spend frequent intervals moving and sitting, while also needing to reach, bend, twist, crawl, crouch, stoop or kneel. The employee will need to be able to lift up to 25 pounds occasionally and 15 pounds frequently. The physicality of this job is low.
