Farmingdale State College seeks applications for a full-time Director of Scheduling and Special Events. Reporting to the Assistant Vice President for Administration, the Director of Scheduling and Special Events is responsible for the leadership and day-to-day management of the Office of Events Management. This individual oversees the coordination and planning of all campus-wide events in which college administrators, faculty, staff, students, alumni, community members, and prospective students are in attendance.

The Director is responsible for department policies and procedures; strategic planning and goal setting; and establishing performance standards, training, and supervising a team of full-time facilities coordinators and student assistants to ensure that each is well prepared to provide excellent event management services to the campus community as well as visitors.

Job Responsibilities:

  • Develop, direct and implement policies, procedures and systems to ensure the successful, efficient, and safe execution of campus events.
  • Create and enhance on campus events to promote student engagement, campus communication, and community outreach.
  • Take a lead role in key events including, but not limited to, Commencement, Accepted Student's Day, Open House, legislative breakfasts, Governor's Office events and other events hosted and/or sponsored by NYS entities, and other special events.
  • Collaborate with the President's Office, Academic Affairs, Student Engagement, Admissions, Development and Alumni Relations and other campus departments, as appropriate, to oversee and manage the logistics and planning of major campus-wide events.
  • Build relationships and coordinate with campus service providers such as University Police, Facilities, Auxiliary Services and Information Technology to ensure event needs are met.
  • Develop and manage a department budget.
  • Serve as functional system administrator for the Event Management System (EMS).
  • Oversee the execution of contracts with third parties to utilize campus facilities.
  • Lead and direct assessment and data collection initiatives pertaining to event and conference facilities and services to identify areas of growth and development.
  • Support the work and mission of the College through committees, task forces and special assignments.
  • Occasional evening and weekend hours required.

This title is in Appendix A of the SUNY Policies of the Board of Trustees and, as a consequence, incumbents serving in this title are not eligible for permanent appointment (tenure), but instead receive renewable term appointments.

Job Requirements:


MINIMUM QUALIFICATIONS:

  • Bachelor's degree in related field.
  • 5-7 years of events management experience or in a related field.
  • Demonstrated ability to oversee the daily operations of a multi-faceted department.
  • Ability to pay attention to details, manage multiple projects, and meet deadlines.
  • Ability to develop, plan and implement short and long-range goals, supervise and train assigned staff including organizing, prioritizing and scheduling work assignments while fostering a cooperative environment.
  • Excellent written and verbal communication skills.
  • Exceptional interpersonal skills, including the ability to establish rapport with external and internal campus community members.
  • Experience working with Event Management Systems (EMS), MS Office Suite, Adobe Acrobat, etc.

PREFERRED QUALIFICATIONS:

  • Master's Degree in related field.
  • 8-10 years of event management experience.
  • Experience working in Higher Education.
  • Experience working in SUNY.

This is a full-time M/C position.

  • Salary: $95,000 $3,026 in downstate location pay = $93,026 Total Annual Compensation. Salary may increase commensurate with experience.
