Position Summary:

Responsibilities:
- Greet and Assist: Provide a warm welcome to all staff and guests, and assist them as needed.
- Switchboard Management: Answer the main switchboard for our client and transfer calls to the appropriate department.
- Message Handling: Take messages for executives and relay information to their corresponding assistant.
- Security Protocol: Ensure proper security protocol is followed by staff and guests; check-in and monitor visitors in the reception area, and provide access as necessary. Communicate with security about the status of guests.
- Lounge Operations: Assist in the day-to-day operation of the lounge, including setting up morning snacks, refilling the snack jar, and maintaining the space in a client-ready condition.
- Conference Room Coordination: Manage conference room reservations and assist with general meeting support, such as catering and guest check-in.
- Coffee Requests: Assist with coffee requests for larger executive meetings.
- Event Planning: Plan and coordinate company lobby events, including happy hour, artist performances, live streams, and office networking events.
- Messenger and Food Deliveries: Coordinate with executives and assistants regarding messenger and food deliveries.
- Reception Area Maintenance: Maintain a clean and professional reception area. Work with Facilities personnel to coordinate mail, deliveries, office supplies, and routine maintenance.
- Work Orders: Submit work orders for building maintenance and internal facility-related requests.
- Car Washing Service: Act as the point of contact between employees and the onsite car washing service.
- Additional Tasks: Assist with various assigned tasks as they arise.
Qualifications:
- 2-3 years of previous experience in the front office of a music or entertainment corporate environment.
- Warm, engaging, and professional demeanor both in person and on the phone.
- Outstanding communication skills and business etiquette.
- Intermediate skills in Microsoft Office.
- Demonstrate good judgment and discretion related to confidential material.
- Reliable and dedicated with a can-do attitude.
