Position Summary :
The Development Assistant is a full-time position, responsible for supporting the day-to-day operations of a mid-size development office through general office management and support to team members. This position reports to the Associate Director of Annual Giving Operations. This person will be using Blackbaud’s Raiser’s Edge to process donations and execute donor acknowledgment process, including booking pledges and processing cash and in-kind donations. This position is also responsible for managing the logistics of 4-6 development sponsored events throughout the year. This is a great opportunity for someone looking to develop critical fundraising skills and support all areas of a fast-paced, high-volume development office development.
Essential Responsibilities :
Office Management
- Open and sort development office mail.
- Oversee mailings, including regular donor correspondence and other donor outreach. Execute mail merges and coordinate internal mailings; coordinate vendors on larger scale mailings.
- Share in the responsibility of answering office calls.
- Implement and maintain invoice management system for department; interface with finance department regarding report and reconciliation of invoices.
- Maintain files, archives and records of printed materials.
- Maintain office supplies and equipment, including mail machine and copier / fax / scanner; place orders for office supplies and equipment.
- Record minutes for team development meetings, including but not limited to biweekly all team meetings, project and event planning meetings, etc.
Gift Processing
Enter gift information and record batches in Raiser’s Edge.Execute all gift acknowledgements in a timely and accurate manner, including large volume in-kind and honor / memorial gifts / notifications. Ensure donors receive proper acknowledgement of gifts and coordinate signatures from the Development team, including the CEO and Chief Development Officer.Assist with events as they pertain to donations; process gifts and acknowledgment letters, pledge reminders and any additional post-event correspondence.Inform Development staff and CEO on $1,000 gifts on a regular basis.Create new donor records as needed and accurately capture donor information, with an understanding of pertinent data fields.Perform data entry updates to donor records as information is received (i.e. change of address and mailing preferences).Support agency-wide in-kind gift procedures in conjunction with front desk staff and program managers at all locations.Review database entries and inform staff of any data discrepancies such as misspellings, incorrect donor information, change of address, and salutations. Correct and update records accordingly.Event Management
Manage all logistics (reservations, receiving price quotes, ordering supplies, catering, securing raffle items) for FBMS sponsored events, including but not limited to donor receptions, ribbon cuttings, press conferences, groundbreakings, and participant related events such as Thanksgiving. Represent Development and FBMS at events (may include weekends and evenings).Coordinate and collaborate with Communications team on signage for events at all FBMS properties.Provide support at agency related events (such as holiday parties, agency staff meetings).Other Projects
Proof-read development office communications, including, but not limited to : acknowledgement letters, mail merges, grant proposals and reports, and newsletters.Assist with other projects pertaining to development and communications, as assigned.Attend agency events, as needed, throughout the year (may include evenings and weekends)Skills & Competencies :
