Title: Volunteer Manager
Reports To: Executive Director
This is a full-time position, flexibly scheduled. The Volunteer Manager’s primary responsibility is recruitment and management of a full roster of qualified volunteers to fulfill the Foundation’s assignments throughout its operations, programs, and special events. This position supervises approximately 90-120 weekly volunteers as well as additional volunteers for special events. As with all Foundation positions, in addition to strict confidentiality, it is expected that mission, core values, and vision are exemplified by the individual filling this role.
Specific Duties
1. Recruits volunteers through presentations, media, community events & recruiting fairs
2. Develops and maintains corporate/business and local college/ University Center relationships for volunteer group placement opportunities
3. Network with other volunteer organizations, community service groups, including high school student service groups
4. Schedules tours of the Foundation and interviews and offers placement opportunities for qualified candidates
5. Arranges for background checks and consults with Executive Director on questions that arise
6. Matches volunteers with current openings and/or special events that align with volunteer skillset and/or interests
7. Identifies opportunities for new volunteers including families and other small groups
8. Provides orientation and training, including specialized training to assure that volunteers execute activities that are aligned with the Foundation’s procedures and that remain grounded in the mission and values.
Special Events
1. Provides primary oversight and coordination of the Foundation’s Annual Garage Sale
2. Works closely with the Foundation’s Executive Director on food drives, and other fundraising events to ensure volunteer shifts are assigned
3. Coordinates volunteers as requested by partner organizations for identified fundraising events that benefit the Father Fred Foundation
4. Creates and maintains files at the Foundation that utilize the Father Fred Foundation volunteers, both internally and externally
Daily Operations
1. Leads morning informational meeting with volunteers before work shifts begin
2. Works in tandem with Director of Operations, to provide oversight to operations as needed
3. Is responsible for oversight of incoming donations and the daily operations of the Clothing and Household Goods departments.
4. Makes procedural decisions with the input of lead volunteers and Foundation staff as applicable.
Record Keeping
1. Maintains volunteer database
2. Maintains rosters, schedules, mailing lists, and all related updates
3. Maintains sign-in procedures to track in-kind donation hours
4. Acknowledges volunteer milestones
5. Updates volunteer manual as needed but at a minimum of every other year, recommends changes to Human Resources Committee for approval and distributes to staff and volunteers
Supervision
1. Utilizing the Team Leader structure, schedules and facilitates meetings with Clothing and Household Goods’ Team Leaders, and volunteers in all departments
2. Provides oversight of daily operations in pantry and warehouse as needed or when Director of Operations is unavailable.
3. Develops and maintains a volunteer communications’ plan to keep volunteers informed about Foundation updates
4. Meets with individual teams and/or individual volunteers as needed for special circumstances
5. Provides volunteer problem solving and conflict resolution and maintains documentation of such activities
6. Orders volunteer materials and supplies (name tags, sweatshirts, etc)
7. Coordinates recognition events and orders gifts
Evaluation
1. Develops and implements annual volunteer satisfaction survey
2. Adjusts placements as warranted
Administration
1. Meets regularly with Executive Director to assure smooth and efficient operations
2. Meets regularly with the Director of Operations to ensure operational needs are met, and volunteers are scheduled accordingly
3. Provides volunteer activity data to Director of Finance for in-kind services reports
4. Oversees lunches for volunteers and cleanup of community room after operational hours.
Other duties as assigned.
Entry Requirements
1. Bachelor's Degree in human resources or related field.
2. Three to five years experience managing a volunteer staff responsible for the day-to-day operations of a large non-profit
3. Excellent interpersonal skills
4. Demonstrates ability to effectively lead and motivate
5. Familiarity with database management
6. Commitment to personal and/or spiritual growth & development of volunteers
Working Conditions
1. Works in well lighted, clean, smoke-free surroundings
2. Work is subject to frequent interruptions.
3. Work is often fast-paced with sometimes periods of high stress
Physical Requirements
1. Manual dexterity enough to operate a multi-line telephone system, keyboard, copier, scanner, calculator, and other office equipment
2. Sitting and/or standing for long periods
3. Standing, stretching, and stooping to reach files and office supplies
4. Occasional lifting of up to 25 pounds
5. Viewing computer screens for long periods
6. Occasional need to climb ladders, use a manual pallet jack and assist Director of Operations with disposal of garbage and recyclable items.
