Position Overview :

We are currently seeking an Administrative Assistant / Receptionist to join our team. This is an excellent opportunity for someone who thrives in a dynamic, client-facing role and enjoys performing a variety of administrative tasks. The position acts as a first point of contact for clients and vendors, handling phone and in-person interactions, and will be integral to supporting our tax, audit, client accounting, and pension departments.

Key Responsibilities :

  • Serve as the first point of contact for clients and vendors, providing excellent customer service via phone and in-person interactions.
  • Perform a variety of administrative tasks, including scheduling, document preparation, data entry, and maintaining office organization.
  • Support multiple departments (tax, audit, client accounting, and pension) with their administrative needs.
  • Complete daily errands
  • Sort and distribute mail
  • Upload tax returns to client portal and assist clients with receipt of documents
  • Help ensure smooth office operations by maintaining office supplies and equipment.
  • Assist in organizing events, office logistics, and handling client correspondence.
  • Be proactive in identifying opportunities to improve office processes and assist other team members as needed.

  • Preferred Qualifications :

  • 2-5 years of office administration experience (preferably in a professional services or CPA firm environment).
  • Strong communication skills, both written and verbal.
  • Proficient in Microsoft Office Suite (Word, Excel, Outlook).
