We are looking for a part-time (16 hours per week one Saturday morning per month) Receptionist/Patient Coordinator/Social Media Assistant to help manage our front desk and, perform a variety of administrative and clerical tasks, recall patients for repeat appointments and develop and post content on social media. This person will also provide clinical support to the Nurses and Doctor on staff if/when needed. This is a part-time position - Monday and Wednesday from 8:00 AM - 12:00 PM - and Friday from 8:00 AM - 4:00 PM one Saturday per month.
As the Receptionist, you will be the first point of contact for our company. You will welcome patients, process intake forms, answer phone calls, and take patient payments. You will also call patient leads and help develop and post social media content. When needed you will also help prepare patient rooms, take patients to exam rooms, and provide clinical support as needed/directed by the medical staff.
Responsibilities
- Greet and welcome patients as soon as they arrive at the office.
- Ensure exam rooms are clean and ready for patients and guide patients to the exam rooms.
- Ensure intake forms for each patient are signed.
- Answer, screen and forward incoming phone calls
- Call patient leads and maintain database of patient leads.
- Ensure reception area is tidy and presentable, with all necessary stationery and material (e.g. pens, forms and brochures).
- Provide basic and accurate information in-person and via phone/email.
- Assist with ordering front office and medical supplies and keep inventory of stock.
- Update patient schedule and schedule meetings.
- Perform other clerical receptionist duties such as filing, photocopying, transcribing and faxing.
- Create and post social media content.
Skills
- Proven work experience as a Receptionist, Front Office Representative or similar role
- Hands-on experience with office equipment (e.g. fax machines and printers)
- Professional attitude and appearance
- Solid written and verbal communication skills
- Ability to be resourceful and proactive when issues arise
- Excellent organizational skills
- Multitasking and time-management skills, with the ability to prioritize tasks
- Customer service attitude
- Willingness to perform administrative or clinical duties as directed.
- Proven social media skills
