Job Description

We are seeking a Accounts Receivable Associate ,responsible for managing the incoming payments and ensuring that all outstanding invoices are collected in a timely manner. This role is important for maintaining cash flow and the financial health of the organization.

Key Responsibilities :

Invoicing and Billing :

Generate and send invoices to customers.

Ensure that invoices are accurate and reflect the correct amounts, terms, and billing details.

Payment Collection :

Follow up with customers to ensure timely payment of invoices.

Manage overdue accounts by sending reminders or contacting customers via phone or email.

Customer Account Management :

Maintain records of customer interactions and payment history.

Resolve discrepancies or billing issues that may arise, providing support to clients as needed.

Processing Payments :

Process incoming payments and apply them to the appropriate accounts or invoices..

Reporting and Reconciliation :

Prepare regular reports on outstanding receivables and payment status.

Reconcile customer accounts to ensure all payments have been correctly applied.

Collaboration with Other Departments :

Work with sales, customer service, and other departments to address any issues that may affect accounts receivable.

Provide necessary documentation or support to help resolve payment disputes or billing concerns.

Credit Management :

Monitor customer credit limits and assess whether further credit should be extended to customers based on their payment history.

Report on overdue accounts and escalate issues as necessary.

Skills & Qualifications :

Attention to Detail : Accuracy is crucial when dealing with invoices, payments, and customer accounts.

Communication Skills : Ability to effectively communicate with customers, colleagues, and management regarding payment issues.

Problem-Solving : Resolving discrepancies, payment delays, or account disputes quickly and effectively.

Organizational Skills : Managing multiple accounts and deadlines while ensuring timely follow-ups.

Proficiency in Accounting Software : Familiarity with tools like QuickBooks Online and Microsoft Excel.

Knowledge of Accounting Principles : Understanding basic accounting principles such as revenue recognition and accounts receivable management.

Education & Experience :

Min three years previous experience in a similar role or in customer service, collections, or finance is preferred.

Associates degree in accounting or related field a plus.
