Position Summary
FC Cincinnati is searching for an experienced, reliable and task-oriented Executive Aide to serve as a trusted advisor and right-hand administrator to the President/Co-CEO. This role will support the Co-CEO and work directly with senior executives and internal and external stakeholders (including the Club’s ownership) on the Co-CEO’s behalf for general communications and meeting preparation and coordination. The position will be responsible for performing a variety of administrative duties including small event and meeting management and other tasks as assigned. Additionally, the role will provide strategic support by attending key meetings with the Co-CEO, tracking action items, driving execution on priorities, and communicating back to FC Cincinnati leaders, as necessary. This role requires confidentiality and the ability to work independently with sound judgment and a sense of urgency. The ideal candidate is experienced, self-motivated, professional, and capable of proactively managing their workload and prioritizing tasks in a fast-paced environment guided by timelines.

Executive Support
- Represent the organization by welcoming the Co-CEO’s visitors, reviewing and prioritizing his email correspondence, arranging corporate functions, and answering questions and meeting requests directed to the Co-CEO;
- Actively manage Co-CEO’s relationships with ownership, league executives, partners, elected officials, corporate sponsors and key community influencers to drive alignment on strategic initiatives;
- Diligently prioritize, manage in detail the Co-CEO’s very active professional and personal calendar, schedule meetings, and speaking engagements, and coordinate travel arrangements with attention to details and advance briefings while exercising discretion in committing the Co-CEO’s time and evaluating needs;
- Working with the relevant parties, prepare briefings including as necessary talking points for key meetings and public appearances;
- Arrange corporate travel and meetings by developing itineraries and agendas, booking transportation, arranging lodging and meeting accommodations in a timely manner;
- Serve as the primary point of contact for internal and external stakeholders, managing communications and follow-ups in an organized and timely manner;
- As needed, attend high-priority meetings with the Co-CEO, taking notes, tracking action items, and ensuring follow-ups are completed, including communication back to relevant FC Cincinnati leaders;
- Enhance the Co-CEO’s and Club's reputation by having a consistent professional presentation in all settings and correspondence including A/V for speeches and F&B at hosted events;
- Identify and collaboratively implement process improvements when necessary;
- Manage and protect highly confidential information on a daily basis;
- Prepare internal and external business documents, communications and create executive presentations for delivery by the Co-CEO;
- Implement and maintain a system for regularly recording expenses (including expense reports), filing papers, and keeping the Co-CEO and his office organized;
- Serve as administrative gatekeeper for the Co-CEO;
- Ability to be responsive to Co-CEO outside of regular business hours, including but not limited to early mornings and evenings, weekends, and holidays.
- Serve as the main point of contact for the Co-CEO’s suite at TQL Stadium for MLS home matches and other pertinent stadium events, including but not limited to managing the suite invitation and guest lists, coordinating catering orders, facilitating the event-day catering, and other service functions as it relates to suite use;
- Serve as a liaison between staff at the three FCC campuses of the Mercy Health Training Center, Downtown Office, and TQL Stadium on the Co-CEO’s behalf;
- Collaborate with the Leadership team to coordinate club events, projects, and special assignments;
- Complete projects and special assignments as directed by the Co-CEO and his executive direct reports by working to establish objectives, determining priorities, managing time, and being flexible as necessary;
- Ability to work outside of regular business hours, including but not limited to weekends and holidays, as required by the FCC game schedule, special events, and projects.
- Travel logistics, scheduling, presentation creation, meeting management, client relationships, strong written and verbal communication, general administrative skills;
- Excellent organization skills, highly detailed orientation with demonstrated follow through and judgment;
- Positive “make it happen” attitude with willingness to take feedback rooted in growth culture;
- Ability to handle sensitive matters with tact and diplomacy;
- Proven ability to multitask in a fast-paced working environment, make decisions under pressure and prioritize tasks while remaining meticulous with details;
- Strong computer and research skills, flexibility, excellent interpersonal abilities and project coordination experience;
- High-level administrative support skills and the ability to work well with all levels of ownership, internal management and staff, and outside clients and vendors;
- Strong Microsoft Office Skills (Outlook, Word, Excel, PowerPoint).
- Bachelor’s Degree preferred;
- 5 years of experience as an executive assistant, chief of staff or strategic operations role;
- Proactive; detail and deadline-oriented multitasker;
- Ability to anticipate needs, prioritize tasks and make decisions under pressure;
- Executive calendar management and organizational skills;
- Excellent oral and written communication skills;
- Prior experience in a fast-paced industry is a plus.
