Junior Event Specialist

Role Overview
The Junior Event Specialist is a pivotal role at Feast Your Eyes Catering, responsible for delivering exceptional service and profitability for Feast’s premium catering business. This position requires a strong commitment to living and promoting Feast’s values and standards, and the individual will be expected to model these in all interactions with clients, guests, and team members.
The Junior Event Specialist collaborates across Feast’s teams and specifically with the Senior Event Specialist, as assigned. This collaboration is critical to the growth and success of the individual as well as to delivering meticulously managed events that provide a seamless joyful experience for clients and guests. The Junior Event Specialist coordinates the client experience from inquiry to proposal, scheduling, planning, and event execution. This full-time position will work in-person out of Feast’s Fishtown headquarters and on-location at catered events.

Duties/ResponsibilitiesSales/Administrative
Together with Feast Senior Event Specialist and under their guidance:
- Provide administrative and prospecting support for current and future clients
- Coordinate the client experience from inquiry to proposal, scheduling, planning, and event execution
- Respond, log & follow up on all event inquiries
- Schedule and follow through with appointments for clients to view facilities and provide an overview of packages and options (eventually leading client tours)
- Contribute in client meetings and communicate regularly with clients
- Create proposals based on the needs, interests, and expectations of the client
- Write client contracts and agreements covering all aspects of the planned event
- Collect payment from clients
- Prepare event orders for distribution
- Communicate and confirm event details (including changes) with the appropriate Feast team members
- Complete event orders with guaranteed counts, settle any financial debts or credits
- Create seating arrangements and floor plans
- Create staff assignments based on event staffing needs
- Coordinate marketing and outreach efforts with Feast marketing team to consistently grow your team’s book of business
- Stay current on all event trends to remain competitive within the event and catering industries
- Develop vendor relationships and attend networking meetings
Day-of Event Responsibilities
- Work closely with front of house and culinary/kitchen teams to ensure events are executed at Feast standards with the highest level of customer service for clients and guests
- Ensure safety and security procedures are followed
- Organize and execute event from start to finish
- Serve as on-site event supervisor / banquette captain (first one in – last one out)
- Supervise front of house staff
- Oversee and assist with the correct set-up and tear down of sites and spaces based on event needs
- For weddings, orchestrate ceremony and reception details and assist with ceremony rehearsal
- For weddings, refresh bridal suite for couples return after the ceremony

- Strong computer skills, including familiarity with the Mac platform, Microsoft Office Suite, and event management tools and systems
- High level of professionalism, positive attitude, and business professional appearance while working with clients, guests, staff and vendors
- Able to work with people at all levels
- Able to effectively problem solve complex challenges and get positive results
- Ability to prioritize work assignments and adapt to changing priorities
- Demonstrated commitment to compliance with all laws, regulations, and business ethics
Education & Experience
- Bachelor's Degree preferred but not required; experience in lieu of degree
- Minimum 2 years in progressive catering/sales roles within the catering or hospitality industry, in lieu of degree
Requirements
- Able to work a flexible schedule including days, nights, weekends and holidays.
- Able to work in varying elements, including indoors and outdoors, uneven walking surfaces/terrain, locations with stairs
- Able to lift, carry and move materials weighing 35 pounds or more at times
- Valid Driver’s License and reliable access to a vehicle
Compensation
- Hourly office rate
- Additional rate when working off-premise catered events
- Full time position with health care, paid time off (personal/vacation/sick days), cell phone credit, 401K with company match
