POSITION SUMMARY:

This individual is responsible for key data entry and scheduling in the electronic health records system used by FRTH in order to obtain relevant patient information for the patient?s visit. This includes greeting and assisting patients in obtaining needed services. This person is responsible for maintaining an accurate schedule of patients for FRTH providers and assists in a successful and pleasant experience for patients and visitors at the facility. This position is also responsible for verifying patient information at the time of visit and updates FRTH computer systems for use by all departments. This position is cross-trained in a variety of duties within the department that require providing information to patients regarding available services and requirements for patient care.

ESSENTIAL FUNCTIONS:

  • Utilizing FRTH?s electronic health records system (EHR), enter a variety of relevant patient information into the patient?s record needed by FRTH to provide patient care, referrals, and allow for billability of the patient?s visit.
  • Answer multi-line phone and greet all patients and visitors in a cheerful and courteous manner.
  • Assist patients with scheduling appointments both in person and on the telephone using computer programs provided.
  • Cancel and/or no-show patients in computer programs and notify Provider electronically.
  • Verify and/or update patient contact information, including ID and insurance cards each visit.
  • Perform checkout duties to include accessing Patient Treatment Plan, informing patient of required return appointments, and scheduling such as appointments when possible.
  • Maintain strict confidentiality of all patient records.
  • Assist patients with determining resources for patient services by making referrals as necessary to other FRTH staff or to appropriate department or agency, such as Family Pact, PRC, FRTH Patient Services, etc.
  • Assist patients with their needs by referring them to the appropriate department and/or individual who may be able to assist them.
  • Maintain an accurate electronic appointment schedule for Providers, including updating work-in schedule daily.
  • If transportation required by patient, verify eligibility of patient for transportation and schedule transport for patient per existing transportation policy.
  • Monitor and stock Medical front desk, as well as all other supplies for the Medical & Nursing departments. This includes making copies and maintaining updated forms.
  • Make phone calls to patients confirming next day appointments for all providers. Run appointment reminder report to determine if people have cancelled their appointment(s). If cancelled, call patient to verify and reschedule.
  • Perform daily review of notifications for scheduling of future appointments as deemed necessary by Provider.
  • Maintain daily check-in stickers.
  • Assist patients in accessing programs utilized by FRTH such as Gateway, Family Pact, CDP, CCS, etc.
  • Responsible for balancing cash drawer and providing accurate and timely deposit logs to supervisor for submission to the Fiscal Department.
  • Assist patients with completing forms as necessary.
  • Ensure consents have been signed with receipt obtained for scanning into EHR.
  • Ensure referral forms and consents have been signed with receipt obtained for scanning into EHR.
  • Ensure all paperwork has minimum of two (2) identifiers.
  • Obtain payments for insurance co-pays or cash pay services rendered in Medical department and direct patient to appropriate staff for other billing and payment questions.
  • Ensure appropriate documentation has been submitted to patient?s resource and if necessary submission of prior authorization for approval before the time of appointment.
  • Ensure patient is educated regarding financial responsibility for services rendered, noting use of required billable resources and PRC guidelines, if applicable.
  • Ensure to collect payment or cash pay patients for good faith estimate. Ensure estimate is signed by the patient. Notify the provider and MA, then collect after the appointment.
  • At the time of hire, each employee will meet with their supervisor to set measurable goals and objectives that are a requirement for the position. These measurables will be monitored by the supervisor and reviewed during the introductory period. They will also be utilized in the annual performance evaluation. The measurables may change from year to year. The supervisor is responsible to notify the employee of any new measurables at the time of the performance review.

ADDITIONAL RESPONSIBILITIES:

  • Attend staff trainings and meetings as required.
  • Maintain reception area in a clean and organized condition.
  • Learn and implement electronic health records functions as they continue to evolve.
  • Assist with a variety of duties in order to meet the needs of the department on an as needed basis.
  • Serve as a back-up to other staff within the Nursing department, as may be required to cover for breaks, illness, and vacations.
  • Other duties as assigned.

  • Ability to arrive at work promptly and maintain regular attendance.
  • Ability to be well organized and prioritize work and project activities.
  • Possess knowledge and understanding of patient eligibility standards (such as Victim Witness Program, PRC, Direct, Family Pact, CCS, CDP, Gateway, Patient Services, etc.) to correctly identify who is eligible for which services.
  • Ability to portray a professional appearance.
  • Ability to understand the confidentiality of patient health information and maintain the information in a secure manner.
  • Ability to type at least 35 words per minute.

EDUCATION AND EXPERIENCE:

  • Must have High School diploma or GED certificate.
  • Understanding of medical terminology preferred.
  • Computer skills and ability to utilize a variety of programs.
  • Must be able to pass a typing test for at least 35 words per minute.

This position is physically and emotionally challenging. There is a high degree of stress. Ability to deal with time constraints and emotional stress and exposure to body fluids and viruses are also essential functions of this job.

Compensation Package:

$22.11-$23.00 Per hour

All insurance available the following month of employment

Medical is 100% covered by employer, including Self, Self Plue One, and Self Plus Family

Dental and Vision is 100% covered by employer including Self, and additional coverage for Self Plus One, and Self Plus Family is available at additional cost.

401K available day of hire, and 3.5% employer match.

Employer provides $20,000 life insurance policy for full-time employees and additional coverage is available for purchase.

Up to 80 hours vacation that begins to accrue on day one.
