Summary:The Full-Time Events Coordinator provides clerical support to the Catering and Events Manager.
Schedule:
Full-Time. Flex based on event schedules. Evenings, Weekends, and some holidays.
Responsibilities
Responsibilities:• Clerical work includes drafting contracts, writing event proposals, answering telephone calls, scheduling appointments, and maintaining data bases.• Promote the image and services of the Club to increase event sales.• Meet with clients to plan and organize events ranging from 10-200 guests as needed.• Work with the Chef as needed to write custom menus for events.• Show clients the various event spaces available, advising and discussing the merits of the various options when the Director is unavailable.• Discuss, plan, and communicate all details of the event with the client including menu selection and provide detailed BEO’s to appropriate staff members.• Maintain constant communication with the client regarding the event.• Ensure smooth execution of events by collaborating with appropriate department heads involved.• Prepare event floor plans for clients as needed.• Ensure all event clients are invoiced and input receipts into an accounting platform.• Assist in maintaining club calendar and event database.• Ensure that policies and procedures are adhered to.• Assist Event Director with additional tasks as needed.
Qualifications
Qualifications:Experience in an event field preferred.

Education and/or Experience:• A High School Diploma or equivalent is required. A Bachelor’s Degree is preferred.
Computer Skills:
• Proficiency using software programs such as MS Word, ACCESS, PowerPoint, Excel and Outlook
Environmental Factors/Physical Demands:
• Work is performed in an office environment. While performing the duties of this job, the employee is regularly required to have the ability to maintain active customer and employee communication; access, input and retrieve information from the computer system; enter alpha-numeric data into a computerized system often while listening on the telephone. May be subject to repetitive motion such as typing, data entry and vision to monitor. May be subject to bending, reaching, kneeling, stooping and lifting up to thirty (30) pounds.FS123
