We’re looking for a dedicated SALES SUPPORT SPECIALIST who’s a team player with positive energy and a can-do attitude.
Job Summary: Our Sales Support Specialist will serve as a key partner to the sales team, ensuring smooth order processing and maintaining high levels of customer satisfaction. This role focuses on supporting the fulfillment of sales orders by collaborating with internal teams, such as manufacturing and production planning, while acting as a customer advocate. The ideal candidate will excel at multitasking, problem-solving, and building strong relationships with both clients and colleagues.
Key Responsibilities:
Customer Service Excellence
- Act as the primary point of contact for customers, addressing inquiries about orders, timelines, and product availability.
- Maintain regular communication with customers to ensure satisfaction.
- Resolve customer concerns or complaints promptly, ensuring a positive customer experience.
- Build and maintain long-term relationships with clients to encourage repeat business.
Sales Order Coordination
- Accurately process and manage sales orders.
- Review orders for completeness, accuracy, and alignment with production capabilities.
- Collaborate with the sales team to handle order modifications, cancellations, or special requests.
- Ensure timely and accurate order entry into the company’s system, minimizing errors and delays.
Manufacturing and Production Collaboration
- Communicate with the manufacturing and production planning teams to ensure that orders align with capacity and schedules.
- Monitor production progress to ensure orders are completed on time and meet customer specifications.
- Communicate any production delays or challenges to the sales team and customers, providing solutions to mitigate impact.
Sales Team Support
- Provide administrative support to the sales team, including preparing order confirmations, quotes, and customer communication materials.
- Serve as a resource for the sales team by providing updates on order progress and addressing any internal inquiries related to production.
- Assist in organizing sales materials and maintaining up-to-date records in the company’s systems.
Process Coordination and Improvement
- Identify opportunities to streamline order processing and improve communication between sales, production, and customers.
- Contribute to the development of best practices for sales support and customer service to enhance overall efficiency.
- Maintain accurate and organized records of customer interactions and orders to ensure seamless handoffs and continuity.
Qualifications, Skills and Experience:
Education
- High school diploma or equivalent required.
- Associates degree in business, sales, or a related field preferred, but not required.
Experience
- At least 2 years of experience in sales support or customer service, ideally in a manufacturing or production-focused environment.
- Proven success in delivering exceptional customer service and supporting sales operations.
- Proficiency in Microsoft Office Suite (Excel, Word, Outlook).
- Experience with ERP or CRM systems for order and customer management is highly preferred. (we use Amtech and NewBiz software).
- Excellent communication and interpersonal skills.
- Highly organized and detail-oriented, with the ability to manage multiple tasks simultaneously.
- Strong teamwork and collaboration skills, with the ability to work effectively across departments.
Preferred Qualifications
- Experience in the corrugated box or packaging industry is a significant advantage.
- Familiarity with manufacturing processes or production scheduling.
Work Environment
- This role is office-based, with occasional interaction with the manufacturing floor to follow up on production progress.
- Standard business hours with minimal after-hours requirements.
