Chamber Manager - Full-time Position

Qualifications

  • Proficiency in event management software (Association Sphere), Microsoft Office Suite (Word, Excel, PowerPoint), QuickBooks, and Canva
  • Ability to work collaboratively as part of a team while also being capable of working independently when necessary
  • Positive attitude and enthusiasm for promoting the value of the Chamber to both members and the community
  • Customer service skills to handle member issues and public inquiries
  • Financial acumen that includes knowledge and experience preparing budgets, working with QuickBooks financial software, and managing day-to-day financial matters
  • Organizational skills that allow for the efficient and effective operation of an office environment
  • Project management skills, including coordination of special events, membership events, and coordination of board meetings
  • Administrative skills that include written communications, document design, recordkeeping, and coordination of bulk mailings
  • Experience with social media platforms (Facebook, Instagram, etc.)
  • Residency in the City of Fernley
  • Knowledge of local business community, economic development and Chamber of Commerce operations is a plus

Responsibilities

  • This role will collaborate with the Chamber Board of Directors and members to bring fresh, innovative, creative ideas and processes to enhance the value and experience of members, visitors, and the community.
  • The Chamber Manager is a key position that contributes to revenue generation for Chamber operations
  • This role may require occasional early morning and/or late-night attendance or weekends for special events
  • This role will actively promote the value, benefits, services, and programs of the Fernley Chamber to members and non-member businesses under the current business plan
  • Aid the Committee Chairs in planning, managing, and executing all aspects of events, including overseeing event budgets & checklists, managing event volunteers, coordinating with the City of Fernley and community partners, coordinating the design of event programs and PowerPoint presentations, and writing event scripts

Oversee day-to-day office operations, including managing schedules, handling correspondence, maintaining office supplies, and financial operations

  • Manage the monthly billings and expenses of the Chamber Office
  • Greet visitors Monday – Friday at the Chamber’s office and answer the Chamber’s phone lines
  • Handle financial tasks, such as processing payments, invoicing, and reconciling expenses.
  • Maintain a clean and organized office environment, including managing filing systems and office equipment.
  • Create Prospective and New Member welcome packets.
  • Oversee event registration and invoicing through our database and on the event day.
  • Assist in maintaining the member database and ensuring all member information is correct and updated.
  • Managing membership dues and ensuring all membership invoices are sent promptly and membership dues are paid per the Chamber’s policy
  • Monitor and update content on the website

Job description

OVERALL RESPONSIBILITY:

The Chamber Manager works closely with the Board of Directors and Committee Chairs. This position coordinates and aids in delivering events for the Fernley Chamber that provide meaningful value to our membership and community. This role will collaborate with the Chamber Board, Committees, and volunteers to bring fresh, innovative, creative ideas and processes to enhance the value and experience of members, visitors, and the community.

The Chamber Manager is vital in contributing to the Chamber's operations and revenue generation. General duties will include the day-to-day operations of the Chamber office, which will consist of administrative tasks, banking operations, and effective communication with phone lines, social media, and website correspondence and content. This role may require occasional early morning and/or late-night or weekend attendance for special events. This role will actively promote the value, benefits, services, and programs of the Fernley Chamber to members and non-member businesses per the current business plan.

DETAILED DUTIES:

General Events:

  • Aid Committee Chairs in planning, managing, and executing all aspects of events, including overseeing event budgets & checklists, managing event volunteers, coordinating with the City of Fernley and community partners, coordinating the design of event programs and PowerPoint presentations, and writing event scripts.
  • March Annual Celebrating Success Gala & Dinner
  • June Annual Fernley Chamber Golf Tournament
  • November Annual Hands for Holidays Poker Tournament
  • Quarterly Luncheons – dates are decided in December’s Board Meeting
  • Weekly Tuesday Morning Ambassador’s Networking Breakfast
  • Actively promote the value, benefits, services, and programs of the Fernley Chamber to both member and non-member businesses in alignment with the current business plan. Attend professional development activities annually, which may include industry conferences, webinars, or other relevant training opportunities.
  • Coordinate and attend Ribbon Cutting Events
  • Additional duties as assigned by the President of the Board.
