This role serves as a crucial link in our operational chain, ensuring smooth communication between departments, managing day-to-day logistics, and providing essential support to our event execution teams. As the Assistant Event Production Manager, you'll work closely with the Event Production Manager to implement operational systems, manage schedules, process contracts, and coordinate resources across multiple events. What You'll Do (And Why You'll Love It!)

Operational Support

  • Assist with daily operational functions of the event production department
  • Process and prepare event contracts for production teams
  • Create and maintain weekly staff schedules under the guidance of the Production Manager
  • Coordinate vehicle assignments and transportation logistics
  • Coordinate and secure rental vehicles when event demand requires
  • Assist with inventory tracking and management
  • Prepare event collateral materials for execution teams
  • Ensure team members are utilizing tools and technology to improve operational efficiency
  • Ensure buildings and vehicles are secured at the close of business
  • Develop relationships with venues and clients to ensure flexibility and a secure future relationship

Team Coordination

  • Help conduct daily team briefings and coordinate assignments
  • Serve as a point of contact for crew captains and team members in the field
  • Relay critical information between sales, warehouse, and execution teams
  • Troubleshoot logistical challenges in real-time
  • Monitor team departures and arrivals for event setups and teardowns
  • Assist in team management and general oversight
  • Ensure vehicles are loaded accurately and the day prior to install/strike when possible

Contract Management

  • Review event contracts for accuracy and completeness
  • Identify potential execution challenges or resource conflicts
  • Coordinate with sales team regarding contract updates or changes
  • Ensure all event details are properly documented and communicated
  • Track event status from contract to completion

Administrative Functions

  • Maintain updated records of event schedules and resources
  • Process paperwork for completed events
  • Assist with quality control documentation
  • Support the creation of operational reports
  • Help develop and implement process improvements
  • Track vehicle maintenance and store digital records per vehicle
  • Assist in answering the phone
  • Ensure Ipads are in working order and fully charged

Required Qualifications

  • You are a dependable person who shows up on time.

  • Comfort with technology and a willingness to learn new systems quickly.
  • Ability to stand, stoop, and bend at the waist and knees for extended periods.
  • Ability to adapt to dynamic environments and solve problems proactively.
  • Ability to lift, push or pull up to 75lbs regularly throughout the shift.
  • History of building positive relationships with venue partners and facility managers.
  • Ability to conserve and protect company assets.
  • Maintain a clear and organized work environment.
  • Required to stand and walk for extended periods, often 8 hours per day.
  • Work involves frequent bending, stooping, twisting, reaching, and kneeling.
  • Must be able to work both indoors and outdoors in all Minnesota weather conditions year-round (extreme heat, cold, rain, snow).
  • May be exposed to variable temperatures between indoor and outdoor environments.
  • Must be able to safely navigate various terrain including stairs, ramps, unpaved surfaces, and uneven ground.
  • Manual dexterity required for handling delicate décor items and equipment.
  • May require working at heights on secure ladders or lifts.
  • Ability to maintain balance while carrying items.
  • May be exposed to typical event environment elements including but not limited to: dust, pollen, and other airborne particles; various cleaning solutions and materials; variable noise levels; variable lighting conditions.
  • Excellent communication and interpersonal skills, with the ability to resolve conflicts and foster collaboration.
  • Detail-oriented with a focus on accuracy and efficiency.

  • Employment Status & At-Will: This is an at-will position, meaning either the employee or Festivities may terminate employment at any time, with or without cause, in accordance with applicable laws.

  • Background Checks & Driving Requirements: A valid driver's license and clean driving record may be required for job-related travel. Employment is contingent upon passing any necessary background checks.

Hours & Schedule

  • Full-time position with flexibility required based on event cycles
  • The days and hours of this position may evolve as the individual finds their footing and where the greatest need is. We anticipate typical in-office hours may be Tuesday through Saturday. At this seniority level, availability by phone or email outside of regular hours is expected. Candidates are expected to be available and willing to work during our peak times, which include the month of April, September, the day after Thanksgiving, and the month of December, particularly December 26 - January 2.
  • Availability to support evening and weekend events as needed
