Key Responsibilities
- Document Management: Prepare, proofread, and format legal documents with accuracy and attention to detail. File documents electronically and distribute correspondence effectively.
- Scheduling & Coordination: Manage calendars, schedule meetings, reserve conference rooms, and coordinate workflows to meet deadlines.
- Client Interaction: Serve as a professional and courteous liaison, answering calls, managing messages, and providing relevant information to clients and team members.
- Billing & Time Management: Assist with time entry, billing processes, and conflict checks. Manage billing files and process client payments.
- File Organization: Maintain and organize client files, case materials, and administrative documents following firm guidelines.
- Travel & Expense Management: Arrange travel schedules and process expense reimbursements for team members.
- Mail & Invoices: Handle incoming and outgoing mail, manage messenger services, and process vendor invoices promptly.
- Team Support: Provide backup administrative support to other attorneys as needed.
- Education: Associate’s degree required; Bachelor’s degree preferred.
- Experience:
- 1–2 years of administrative experience or related work.
- 2–5 years of experience as a litigation legal secretary is preferred.
- Proficiency in Microsoft Office Suite.
- Exceptional verbal and written communication skills.
- Strong organizational abilities and attention to detail.
- Ability to multitask effectively in a team-oriented environment.
Salary : $70,000 - $85,000
