Job Knowledge and Expectations

  • Greets members, and guests and assists them.
  • Answers phone calls, and inquiries from members.
  • Forwards phone calls to proper extensions and transfers phone calls to voicemail.
  • Maintains office area clean, and supplies/decor closets well organized.
  • Places orders for office supplies when needed.
  • Works on special projects as assigned.
  • Creates mailing labels, stuff envelopes and prepares mailing.
  • Performs general office work such as printing, scanning, faxing, making copies of various office documents, filing paperwork.
  • Receives and sorts mail and deliveries and organizes them to be distributed to the correct recipients.
  • Manages outgoing mail and packages for pickup.
  • Supports the controller with billing and checking over chits—data entry of checks on Excel.
  • Prepare and design menus
  • Print daily menus for restaurants, bars, and events. Creates flyers/buffet signs for events.
  • Takes reservations by email or phone calls from members and adds the reservations to the dining reservations system on the website.
  • Prepares weekly news (it is an email with all the events and information sent to members every Monday at 9:00 am, email should be scheduled on Sunday of every week).
  • Website: creates events for members to sign up, adds events to the calendar, keeps track of reservations and closes reservations if needed.
  • Takes photos of events to add them to the website, including pictures in the weekly news or add them to emails sent to members (i.e., events, new staff, food menu items).
  • Has excellent typing skills for both time and accuracy.
  • Strong technical skills i.e., Publisher, Excel, Microsoft Word, PowerPoint, web-based applications, website and Jonas.
  • Performs other duties required by the manager.

Work Schedule:

  • Wednesday to Sunday 9:00 am – 5:30 pm
  • The schedule includes weekends and all holidays. Evening hours/alternate hours may be required depending on the facility’s needs.
