JOB SUMMARY
The Attendance Clerk is responsible for managing and documenting student attendance records, ensuring accuracy and confidentiality. This role includes handling enrollment adjustments, maintaining up-to-date student attendance data, and serving as a point of contact for attendance-related inquiries. The Attendance Clerk supports school policies, assists in reporting requirements, and collaborates with staff to maintain a structured and supportive environment for all students.
KEY RESPONSIBILITIES:
- Daily Attendance Tracking: Record and monitor student attendance on a daily basis, ensuring accuracy in attendance logs and data systems for ADA reporting.
- Teacher and Student Communication: Contact teachers and students to verify absences, following up on unreported or unexplained student absences.
- Report Generation: Prepare and distribute attendance reports for staff and administrators as needed.
- Assist in the Enrollment Process including but not limited to data entry and data verification
- Perform a variety of enrollment and attendance record-management, storage, and retrieval functions
- Prepare enrollment and attendance related reports that contain sensitive and confidential information
- Record Maintenance: Maintain accurate, confidential attendance records, updating data in line with school policies.
- Data Entry: Input student attendance data into the school’s system, ensuring compliance with district and state regulations.
- Support and Collaboration: Assist with administrative tasks as needed and collaborate with other office staff to support school operations.
- Policy Adherence: Ensure attendance policies and procedures are consistently applied, providing guidance to students and parents as necessary.
KNOWLEDGE AND ABILITY TO:
- Utilize student information software to manage attendance, generate reports, and perform data entry for administrative use.
- Respond to attendance-related inquiries in a timely and professional manner.
- Assist in problem-solving attendance issues, ensuring information is clear and accessible to support student success.
OTHER DUTIES:
- Support the development of attendance-related policies and procedures.
- Help improve attendance consistency, supporting student engagement and retention.
- Perform other duties as assigned to uphold school goals and initiatives.
- Manage multiple tasks with frequent interruptions and meet tight deadlines professionally.
QUALIFICATIONS:
- High school diploma or equivalent required
- Associate’s degree preferred
- 2 years of experience in clerical work, records management, or a related role
- Bilingual (preferred)
- Familiarity with ADA guidelines and student data management.
- Familiarity with the use of Aeries

- Must have valid driver’s license

- Travel: This position may require travel between different EPIC locations and community sites. Reliable transportation and a valid driver’s license are necessary.
- Flexible Hours: Due to the nature of adult education and the flexibility needed to accommodate students' schedules.
ABILITY TO: Extensive use of computer equipment; as well as other office equipment such as telephones, copiers, and printers. Must be able to communicate effectively both verbally and in writing. This includes listening to others, responding appropriately, and conveying information clearly.
PHYSICAL DEMANDS: The physical demands described here are representative of those that must be met by an employee to successfully perform the essential functions of this job. Must be able to move around the school campus to interact with staff and students, and attend meetings. Ability to lift or carry office supplies, books, or other materials weighing up to 25 pounds. Ability to bend, stoop, or kneel to engage with students at their level or to access low storage areas.
