Job Description:
As a Secretary/Administrative Assistant, you will play a crucial role in ensuring the smooth operation of our office. Your responsibilities will include managing day-to-day administrative tasks, scheduling jobs, handling payroll, invoicing, billing, and general office purchases, as well as preparing and submitting daily production reports.
Key Responsibilities:
- Administrative Support: Perform general administrative duties including scheduling daily jobs, managing where crews will be going, and managing office correspondence.
- Payroll Management: Process payroll accurately and timely, ensuring compliance with company policies and regulations.
- Invoicing and Billing: Prepare and manage invoicing and billing processes, ensuring all transactions are accurately recorded and processed.
- Office Purchases: Oversee and manage general office purchases, maintaining inventory levels, and coordinating with vendors.
- Daily Production Reports: Compile, prepare, and submit daily production reports, ensuring all data is accurate and up-to-date.
- Office Organization: Maintain an organized office environment, including managing filing systems and office supplies.
Qualifications:
- Proven experience as a Secretary, Administrative Assistant, or similar role.
- Proficiency in MS Office Suite (Word, Excel, Outlook).
- Experience with payroll processing and invoicing software.
- Strong organizational and multitasking skills.
- Excellent communication skills, both written and verbal.
- High attention to detail and accuracy.
- Ability to work independently and as part of a team.
- High school diploma or equivalent; additional qualifications in Office Administration or related field is a plus.
Job Type: Part-time
Pay: $18.00 - $23.00 per hour
Expected hours: 20 per week
