We are seeking a highly skilled Accounts Payable & Accounts Receivable Specialist with deep technical expertise in financial transactions, billing cycles, and corporate financial reporting for a telecommunications company. The ideal candidate will have advanced proficiency in QuickBooks, a solid understanding of telecom billing structures, and experience in corporate giving to nonprofit organizations. This position plays a critical role in ensuring the accuracy, efficiency, and compliance of financial operations, including vendor payments, customer invoicing, financial reconciliations, and contributions to charitable entities.
Key Responsibilities:Accounts Payable (AP) Responsibilities:
- Process vendor invoices, ensuring proper coding, authorization, and compliance with company policies and telecom industry financial regulations.
- Manage electronic funds transfers (EFTs), wire payments, ACH transactions, and check disbursements.
- Reconcile vendor accounts, resolve discrepancies, and communicate with suppliers regarding payment status and disputes.
- Ensure regulatory compliance with FCC, and IRS 990 filing (for nonprofit contributions).
- Maintain accurate 1099 vendor records and assist with year-end reporting.
Accounts Receivable (AR) Responsibilities:
- Process customer invoices, telecom service contracts, and subscription-based billing in QuickBooks and the company’s proprietary billing platform.
- Manage incoming payments from corporate, government, and individual telecom clients via credit card, ACH, and wire transfers.
- Reconcile monthly AR ledgers, identify outstanding balances, and initiate collection efforts to minimize bad debt.
- Prepare and analyze AR aging reports, flag delinquent accounts, and work with sales teams to resolve payment issues.
- Assist in fraud detection and prevention by monitoring unusual payment behaviors and chargeback claims.
Corporate Giving & Nonprofit Financial Support:
- Process and track corporate donations, sponsorships, and grant contributions to nonprofit organizations.
- Ensure proper tax treatment of charitable giving, maintain accurate documentation for audit and IRS compliance.
- Coordinate with legal and finance teams to ensure all donations comply with 501(c)(3) tax-exempt status regulations.
- Prepare detailed reports on corporate social responsibility (CSR) financial contributions and liaise with nonprofit partners on payment disbursements.
Qualifications & Requirements:
- Bachelor’s degree in Accounting, Finance, or a related field.
- 3-5 years of experience in AP, AR, or general accounting within acorporate finance environment.
- Advanced proficiency in QuickBooks, Microsoft Excel, and ERP accounting systems.
- Familiarity with telecom billing structures, subscription models, and financial reconciliation for carrier services.
- Strong knowledge of GAAP accounting principles, financial reporting, and regulatory compliance.
- Experience in corporate giving and nonprofit finance management, including IRS 990 filings and donation tracking.
- Excellent problem-solving skills, with a proactive approach to financial analysis and risk management.
- Strong written and verbal communication skills, with the ability to liaise effectively with vendors, customers, finance teams, and nonprofit partners.
Preferred Skills & Certifications:
- Certified Accounts Payable Professional (CAPP) or Certified Receivables Manager (CRM) is a plus.
- Knowledge of corporate tax implications for nonprofit donations and telecom industry financial compliance.
- Experience with audit processes and financial due diligence.
