Client Success Manager Job Summary:
As a Client Success Manager, you will play a vital role in managing and maintaining client records while ensuring their accuracy. You will reach out to clients through various communication channels, process and update client records, and collaborate with internal teams to ensure smooth operations and client satisfaction.
Key Responsibilities:
- Client Outreach: Proactively contact clients to gather additional information and documents, provide updates on accounts, and address any inquiries or issues.
- Record Review: Analyze client records, including progress notes, tasks, and files, to ensure accuracy and completeness.
- Internal Collaboration: Work closely with internal teams at various levels to ensure that client records and communications are processed accurately and efficiently.
- Documentation Handling: Download, collect, and organize documentation from physical mail and electronic sources as needed.
- Record Submission: Prepare and submit client records via email, fax, or priority mail to relevant parties, ensuring all submissions are accurate and timely.
- Record Maintenance: Maintain detailed records of all submissions, including tracking numbers, dates, and follow-up actions.
Essential Skills:
- Communication Skills: Strong written and verbal communication skills for interacting effectively with clients, team members, and external parties regarding client accounts.
- Documentation Review: Ability to review and analyze documentation to ensure it meets accuracy, completeness, and compliance standards.
- Attention to Detail: High level of precision required for managing records and processing requests to maintain accuracy and confidentiality.
- Technical Proficiency: Proficient in using Microsoft Office Suite, SharePoint, and Customer Management Systems. Knowledge of NetSuite for email management, data entry, and document handling is a plus.
- Organizational Skills: Effective at organizing and managing client records, prioritizing tasks, and meeting deadlines to ensure a smooth workflow.
- Record Management: Knowledge of record management principles, including accuracy, completeness, and confidentiality in handling client documentation.
- Time Management: Strong skills in prioritizing tasks, meeting deadlines, and following up with clients and internal teams.
- Teamwork: Ability to collaborate effectively with supervisors, colleagues, and clients to achieve shared goals and objectives.
- Adaptability: Flexibility to adjust to changing priorities, procedures, and requirements in a dynamic work environment.
Requirements:
- Proven experience in client management or a similar role.
- Proficiency with relevant software applications, including Microsoft Office Suite and SharePoint.
- Strong organizational and time management skills.
- Excellent communication skills and attention to detail.
- Ability to work collaboratively in a team-oriented environment.
