We are looking for an Executive Administrative Assistant to join our executive team. This position provides administrative support to the President / CEO, the Board of Directors and backup administrative support for Executive Management on critical projects as needed. This position functions as a liaison to the Board and the Executive Team.
Location : Branchburg, NJ
Schedule : 30-35 hours per week, Monday - Friday 8 : 00am to 3 : 00pm.
Special Consideration to Schedule : One Tuesday night each month, minimum, to work at our Board of Directors Meeting plus additional time if needed to assist with special projects or events.

Some of your responsibilities will be, but are not limited to :
Assist the CEO with schedule management to include calendar management, time management, mail, email, phone calls, client management and other company agendas. Receives incoming communication, memos and requests on behalf of the CEO; reviewing content, prioritizing importance, summarizing information and presenting to the CEO for further review as may be required.Organize regular Board Meetings including any Special Board Meeting as may be required. Attend regular Board meetings transcribing meeting minutes, tracking items noted for follow up and ensuring all required signatures are obtained.Working with the CEO, organize the schedule of events related to the Annual Meeting of the Members, ensuring all regulatory requirements are fulfilled on schedule.Prepare summaries of data as needed. Disseminate action items to management team members as directed by the CEO.Follow-up on CEO requests for information, items due, projects etc. to ensure timely submission to CEO.Coordinate, prepare and assemble materials for presentations, Board meetings, contracts etc.Post and update project information and additional information on the Credit Union secure intranet site(s) as directed by the CEO and BOD.Coordinate the planning and organizing of the Annual Strategic Planning Conference.Serves as the primary contact for visitors and guests of the Executive Office.Coordinate all travel and conference registrations for CEO, Board of Directors, and Supervisory Committee. Assist with various administrative tasks.Prepare and submit expense reports for the CEO and BOD.Organize and maintain the electronic filing system on the CEO / Board network directory.Process and distribute incoming mail and overnight packages for handlingHandle inquiries and complaints to CEO and BOD, report details to the CEO, assign to dept. and see thru to resolution.Familiarity and adherence with FRFCU by-laws.Complete various corporate office administrative tasks.Assist and / or lead special projects and perform additional duties as may be assigned by the CEO.What we offer to our team members :

Bachelor’s degree in business or communication or related area preferred or the equivalent work experience.Minimum of 4 years of similar or related experience supporting and reporting to executive level management.Advanced proficiency with Microsoft Office Suite (Outlook, Word, Excel and PowerPoint) and virtual meeting formats is required. Familiarity with Atlassian product suite or other collaboration and project management tools is preferred.Requires professional, well-developed interpersonal skills (written & verbal) together with the ability to multi-task and prioritize.Ability to recognize and maintain highly confidential and sensitive information.Requires superior organization and time management skills, attention to detail, adaptability, and creativity with the ability to meet deadlines.Independent self-starter, with a confident and proactive approach.Must be able to complete tasks and / or projects accurately with little or no direction within applicable deadlines.If you are looking to help support an executive team lead an organization to success, and want to work with great people, please apply so we can talk!
