Job Overview:
The role of the Financial Resources Group Investment Services Virtual Support Specialist is to provide exceptional operational and administrative support to Financial Advisors and Financial Institutions of FRGIS. Responsibilities include, but are not limited to, account establishment, account maintenance, transferring accounts, moving money, client reporting, resolving notifications, and marketing submission. This position is onsite at the Financial Resources Group Investment Services home office initially, with the opportunity to transition to remote work.
Duties and Responsibilities:
- Daily direct communication with advisors and clients
- Assist advisors with documentation requirements for operational functions such as new accounts, account transfers, move money, and complex transactions requests
- CRM management and assist the advisor in preparation for upcoming client meetings (i.e., paperwork, requirements, etc.)
- Research complex situations, set client expectations, and define the actions necessary, to resolve inquiries promptly
- Resolve advisor escalations and assist with account alerts and notifications
- Communicate with internal departments to ensure client's expectations for timely service delivery are met
- Provide daily recaps to the advisor summarizing work completed and outstanding items and tasks
- Prepare client documentation and reporting, using the advisory proposal tool
- Coordinate submission of marketing materials to Institution Compliance and LPL Marketing Regulatory Review
- Submit and track account transactions on behalf of the advisor
- Special project support as requested
Required Skills and Experience:
- Minimum of 3 years working with the Financial Services industry, specifically within customer service, administrative support, or providing comprehensive support to multiple stakeholders
- Bachelor’s Degree (preferred)
- Must be detail-oriented; must possess strong analytical, organizational, and problem-solving skills
- Excellent oral and written communication skills
- Excellent phone communication and listening skills
- Outstanding interpersonal skills with the ability to build and foster relationships
- Ability to handle multiple projects with deadlines and analyze/research information
- Proficiency with MS Office Suite (Outlook, Excel, and Word in particular)
- Experience with various CRM applications; such as Redtail or MS Dynamics preferred
- Self-directed and able to work within a team environment to complete critical projects with other departments within the firm
- Series 7, 63, 65 or 66 licenses are preferred, but not required
