About the Role:
The Client Service Associate (CSA) will be a key member of the Client Service team, reporting to the Director of Client Service. This role is essential in supporting the daily administrative tasks related to client service, ensuring a smooth and professional experience for our clients. The CSA will work closely with both the advisory and operations teams and serve as a primary point of contact for client inquiries and support needs.
Key Responsibilities:
1) Service Items in General Queue
- Assist clients and advisors with non-advisory service needs, including processing onboarding, account paperwork and applications.
- Handle administrative requests such as opening accounts, address changes, and online form submissions.
- Track and complete client service issues and in-progress transactions, reporting status weekly.
- Set up and follow up on money movement requests.
2) Tamarac Advisor View
- Complete all sessions of Tamarac Advisor University online within 3 months of hire.
- Produce performance and custom reports as needed.
- Data maintenance.
3) Custodians (Schwab & Fidelity)
- Complete selected custodian training modules within 3 months.
- Process both physical and eSignature document packets.
- Manage money movement transactions, including wires, checks, and journals.
4) Client & Team Interaction
- Serve as a point of contact for clients via phone, email, and in-person.
- Collaborate regularly with internal teams to support a high level of client service.
- May be asked to assist with ad hoc office tasks or participate in project-based assignments.
- Required to attend client and team events outside of standard business hours (typically quarterly).
5) Back up Front Office Coordinator as needed
- Answer phones as backup.
- Moonlight as a receptionist from time to time.
Requirements:
- This role will be based in our home office in Houston, TX.
- High school diploma or equivalent. Further degree or qualifications like Series 65, SIE encouraged.
- Prefer minimum of 1-3 Years’ Experience as a Client Service Associate in Wealth Management, but open to entry-level.
- Strong communication and interpersonal skills.
- Excellent organizational and multitasking abilities.
- Customer-oriented with a high level of polish and professionalism.
- Proficiency with CRMs, Microsoft Office Suite, and Teams.
- Must be able to pass a background check.
- Willingness to use a personal cell phone for multi-factor authentication.
- Availability to work occasional after-hours for client events.
