What You Will Do:
Performs a variety of clerical, secretarial and receptionist duties for Firelands Regional Medical Center Outpatient Infusion Center. Provides clinical support of the nursing unit and maintains a responsive communication system. Assists in the planning, organizing, implementing, and maintaining the environment of care area.
- Accurately assembles, files, and retrieves confidential patient records prior to appointment ensuring all current material is present and in chronological order.
- Acts as receptionist/clerk/registrar for Firelands Regional Medical Center Outpatient Infusion Center. Greets and directs patients, clients, visitors; answers routine questions regarding services provided by the Infusion Center in a courteous and professional manner. Schedules and maintains calendar for various infusions, procedures, appointments and meetings. Receives/routes all incoming and outgoing mail. Answers telephone courteously, records and delivers messages accurately.
- Performs order entry functions in the medical center computer system and clearly communicates order to appropriate departments and team members.
- Places reminder calls to patients daily.
- Assists patients and visitors in unit as needed. Assist staff on unit by taking meal orders and calling dietary, performing vital signs and documenting this information in the medical record.
- Maintains necessary records, reports and patient files to provide documentation of all services rendered by the Medical Center and Outpatient Infusion Center. Schedules appointments to coordinate with services rendered in ancillary departments of the medical center; obtains necessary patient information to register patients and works with flow sheets for billing purposes.
- Registers patients for visit to Outpatient Infusion Center/medical center; verifies all data. Obtains insurance carrier information and makes copies of both front and back of insurance cards for outpatient services. Obtains signatures of consent for treatment and release of information to third party payers and various agencies, and for insurance payment to the Medical Center. Refers all uninsured patients to Financial Counseling, if applicable.
- Run insurance verification reports twice per week for all prior authorizations. Performs pre-certifications on procedures and infusions daily. Work in conjunction with physician offices on patients with expiring pre-certifications. Maintain the Humana Binder of pre-certifications.
- Collaborate with drug companies and patients for inclusion with assistance programs.
- Charge posting of charges for patient visits. Review the charge posting sheets daily for accuracy and correct errors as found. Performs accurate coding and reimbursement. Reconcile billing problems with clients and work with staff in patient accounts and clients to resolve problems as requested.
- Types letters, memos, reports and other related correspondence as requested by Nurse Director. Types forms, obtains appropriate signatures and mails to client representative. Reviews forms for accuracy before mailing. Accurately takes and types minutes for meetings as requested.
- Checks inventory of supplies on a routine basis and orders appropriately at least twice a week. Unusual or large purchase requests will be submitted for approval. Provides for a safe, efficient and economical use of all supplies and equipment.
- Place all dietary and kitchen supply orders at least weekly.
- Place all medication orders with pharmacy no less than twice per week after rechecking and verifying current schedule.
- Maintains accurate records of department activities; i.e. monthly QA reports, daily charges, daily charts, handling daily exam and laboratory results, computerized tracking/random program and compiles statistical reports as needed.
- Knowledge of the needs of patients according to their age group and the ability to modify care according to patient’s age. Will most frequently care for adults and geriatric patients; and on occasion, teens.
- Demonstrates good judgment in uncertain and unusual situations. Demonstrates ability to tactfully handle difficult situations with patients, families, and physicians.
What You Will Need:
- High school diploma, or equivalent, with courses in office management and one to two years’ experience. Demonstrated clerical skills including filing, record keeping, and billing procedures, office practice and procedures.
- Completion of a Medical Terminology class or demonstrated experience. Ability to consistently spell and use medical terminology correctly.
- Ability to operate office equipment such as calculator, fax, and computer. Proficiency in Meditech, Windows, Word and Excel, preferred.
