JOB SUMMARY:
The Human Resources Shared Services Specialist completes and administers a wide variety of human resources tasks and activities for the department.
ESSENTIAL JOB DUTIES AND RESPONSIBILITIES:
- Process new hires from start to finish
- Assist with processing employee separations
- File HR documents in the employee personnel files
- Assist with data entry and running reports from HRIS system as needed; assist employees with troubleshooting and getting access to their self-service portal in the system
- Review timecards at end of pay period; track & manage meal break violation
- Complete employment verifications and governmental audit responses
- Assist with maintaining company organization charts
- Assist with coordination of the Culturvation program and related employee appreciation activities
- Maintain I-9 binder and complete audits as necessary
- Download and save FSA reports from the portal
- Assist with coordinating the new hire orientation program
- Update and maintain the harassment prevention training tracking
- Run monthly reports from HRIS system including the FHC expirations, minor work permit expirations, work authorization expirations etc. and follow up with managers and employees to get updated documents for our records
- Run on-campus errands to pick-up and deliver HR documents/items as needed
- Assist with creating and updating HR templates and forms
- Assist with copying, scanning, faxing and mailing documents
- Handle restaurant new hire tip card setup/assignments
- Complete other HR-related projects & duties as assigned
Qualifications
REQUIRED QUALIFICATIONS:
- Bachelor’s degree plus 2 years’ experience, or the equivalent education and experience
- Ability to effectively communicate verbally and in writing both in English and Spanish languages preferred
- High attention to detail and accuracy, ability to maintain confidentiality, quick learner, strong interpersonal skills and organizational/ project management skills
- Knowledge of applicable local, state and federal laws and regulations affecting human resource functions and ability to apply to business policies and practice
- Working knowledge of and ability to use HR systems for job tasks
- Ability to maintain confidentiality and ability to effectively handle sensitive matters
- Ability to multitask and meet deadlines working individually or as part of a team
