LOAN OPERATIONS – FILE CLERK
A file clerk plays a crucial role in organizing, managing, and maintaining physical or electronic records within the bank.
Job Summary:
The file clerk is responsible for maintaining an efficient and organized filing system to ensure quick and accurate retrieval of documents. This role involves sorting, filing, and indexing various records, such as correspondence, invoices, reports, loan documents and other documents. The file
clerk may also be tasked with retrieving documents upon request and other clerical duties as assigned by the Loan Operations Manager.
Essential Responsibilities:
1. Sort and categorize incoming documents according to predetermined filing systems.
2. File documents accurately and promptly, ensuring that they are easily accessible and stored in the correct location.
3. Ensure that files are stored securely, and confidential information is protected.
4. Retrieve documents upon request from staff members and ensure their timely delivery.
5. Provide support to other administrative staff members as required, including photocopying, scanning, and securely emailing documents.
6. Handle incoming and outgoing mail, including sorting, distributing, and processing, as necessary.
7. Maintain cleanliness and organization in file storage areas.
8. MasterFile Process: Retrieve the necessary reports for compilation of the daily MasterFile; assist with editing and document confirmation for booked loans: This task involves reviewing and editing documents related to booked loans to ensure accuracy and completeness. Confirm details such as loan amounts, terms, and borrower information. Address any discrepancies accordingly.
