JOB SUMMARY: The primary purpose of this position is to assist the Human Resources Supervisor in the development and maintenance of the Human Resources Department.
ESSENTIAL JOB FUNCTIONS:
- Ensure compliance with federal and state personnel laws and regulations.
- Maintain professional communication and correspondence with candidates, employees, customers, vendors, etc.
- Manage all aspects of payroll functions, processing hourly and salary payroll as scheduled and processing incentives, bonuses, and manual checks as needed.
- Oversee all aspects of benefits administration, including implementation, enrollment/changes, employee inquiries, problem resolution, and ACA, ERISA, FMLA, and COBRA compliance.
- Communicate with all benefit carriers and employees regarding any billing adjustments, corrections, revisions
- Reconcile monthly benefits statements and general ledgers to ensure accuracy. (Central United, Allstate, MASA, Simmons Center, VSP)
- Responsible for the tracking and management of COBRA, employee coaching, Insure Oklahoma, FMLA, qualifying events, etc.
- Assist in pulling and building reports as needed in the HRIS/payroll system
- Responsible for managing all aspects of personnel files, including filing, scanning, and editing as needed.
- Responsible for records retention, including shredding of documents as required
- Maintain job descriptions for all employees
- Manage and track adjustments and changes on the HRIS system as needed, such as assigning/tracking 90-day Evaluations, employee coaching, new hires, terminations, employee information and status changes, premium changes, deduction catch-up or refunds, etc.
- Assist with all aspects of the recruitment and onboarding process, including job postings, 2nd interviews, reference & background checks, pre-employment drug testing, start date scheduling, and employee onboarding/off-boarding, etc.
- Assist with daily workflow to ensure HR Department deadlines are met, including employee NSF maintenance, ordering HR Department Supplies, the Mentor Program, and Employee Recognition, etc.
- Assist with maintaining all aspects of the HR Intranet page, including some aspects of the Home Page, employee directory, organizational chart, and other announcements as needed from HR
- Assist with the maintenance of the Affirmative Action Plan and reports annually
- Assist with maintenance of EEO-1 and VETS 100 reports annually
- Assist all levels of management with personnel issues
- Assist with fun committee events, planning employee banquets, and retirement planning (set up and tear down of all events)
- Maintain all service lists to ensure up-to-date information and accuracy.
- Must be able to meet attendance and punctuality standards.
- Effectively work and cooperate with supervisors, co-workers, and customers.
- Follow the direction of the supervisor.
ADDITIONAL RESPONSIBILITIES:
- Perform other duties and projects as required by management
MINIMUM QUALIFICATIONS FOR CONSIDERATION:
- High School Diploma or equivalent
- Experience in Human Resources, Business Management, Accounting or related preferred
- Knowledge of payroll law common practices, concepts, policy and procedure preferred
- Computer skills, including experience with MS Office, MS Word, MS Excel and Power Point
- Ability to learn job related software required
- Strong analytical, decision-making and communication skills
- Ability to maintain a high degree of confidentiality, and customer service
- Proficient computer, 10 key and typing skills.

PHYSICAL REQUIREMENTS:
This work is sedentary and requires the following physical activities:
- Sitting for long periods of time; occasional bending, squatting, kneeling, stooping; good finger dexterity and feeling; frequent repetitive motions; talking, hearing, and visual acuity
- Frequent lifting (up to 25 pounds of paper supplies or minor office equipment)
- Setting up for events, luncheons, activities as needed
- Driving to outlying locations as needed
WORKING CONDITIONS:
- Normal office environment
- Traveling to outlying locations as needed
