This position involves handling various critical accounts payable and bookkeeping responsibilities in accordance with established policies and procedures. Key tasks include processing invoices to ensure prompt payments to vendors and suppliers, as well as maintaining accurate records of expense checks. Additionally, the role supports audit activities and assists customers by addressing account-related inquiries through phone, email, and in-person communication.
Essential Functions:
- Receive, verify, code, process and accurately enter invoices into the accounting system, ensuring accuracy in terms of amounts, dates, and vendor details.
- Verify and process submitted expense reports, including processing checks for reimbursement.
- Process payments to vendors and suppliers on time, including issuing checks or electronic transfers, in line with payment terms.
- Communicate with vendors to address billing issues, resolve disputes, and clarify payment-related queries.
- Support internal and external audits by providing requested documentation, reports, and explanations related to accounts payable.
- Organize and maintain physical and electronic copies of invoices, payment records, and correspondence for easy access and compliance.
- Input data into computer system, balance accounts, verify information, prepare statements, process mail, and work with customers.
- Each position concentrates on an area of operations, either deposit, loan or general and begins to provide cross coverage as determined. Must develop in-depth understanding of area of responsibility and data processing system in order to effectively accomplish tasks.
- Maintain good customer and inter-department relations.
- Assume and accomplish other duties as assigned.
Requirements
- Previous Experience in accounts payable, bookkeeping, or administrative support (1-2 years preferred).
- Knowledge of basic accounting principles and practices.
- Professionalism must be exhibited and confidentiality respected at all times. Willingness to help others in peak periods essential.
- Ability to maintain confidentiality with financial information
- Accurate keyboarding and calculator skills required along with knowledge of computers and Microsoft Office applications.
- Must understand the Bank’s products and services along with the applicable procedures and policies.
