What are the responsibilities and job description for the Document Specialist position at First Bank?
Position Purpose: The Document Specialist provides effective support to daily operations of Credit Administration and the loan lending staff. The Doc Center is a critical component of the loan origination process. Upon approval, the terms and conditions of each loan will be forwarded to the Doc Center, where necessary documentation will be prepared in a centralized function to ensure compliance with applicable policies and regulations, as well as timely customer service and funding. This includes preparing and reviewing loan documents to ensure proper documentation is in place to perfect the bank’s lien position and eliminate possible losses due to improper documentation.
Essential Duties:
Answer emails related to pending or existing loans
Print loan requests in Doc Center Inbox or Commercial Inbox and log said loans on our Doc Center Processing Log
Process Commercial, Non-Real Estate, Real Estate, Letters of Credit, Renewals and Modifications
Input commercial loans into LaserPro; loan platform system ensuring accurate tracking codes, including purpose, collateral and others as needed
Coordinate loan Closings
Issue attorney instruction letters
Review loan documents and title work
Schedule closing dates for loan closings
Fund loans
Process closing package for Loan Servicing once the closing package is received from the closing agent
Log any pending or missing items on the Doc Center Processing Log
Process and distribute inter-office mail for Doc Center
Process Adverse Action form for Denied Commercial Loans in the loan platform system
Process commercial subordination requests
Process commercial modification requests
Other Duties:
Maintain the Doc Center Processing Log; log requests, update loan status, show receipt of missing items
Monitor loans for Reg H supervisory limit exceptions
Assist the Doc Center Manager with projects and other duties, as requested
Training:
Extensive knowledge of LaserPro and related documentation, secured and unsecured lending practices, lien perfection, as well as title insurance
Experience with banking regulations and operations
Extensive knowledge and experience with Windows based software.
Communication:
This position will require effective written and verbal communication skills. Frequent communication with loan officers, assistants, legal counsel, and others is paramount to the position.
Knowledge/Skills:
This position requires a minimum of five years of experience in commercial loan origination, loan closing or loan operations. Paralegal or strong legal real estate background preferred. Previous experience in a Doc Center is preferred, but not required. Additionally, the position demands strong organizational and communication skills. Proficiency in the above listed “training” requirements will likewise be expected.
Working Conditions (How much time is spent standing, sitting, talking, use of hands, requirements to lift maximum weight amount and frequency):
The Doc Center Specialist will generally be seated within an office environment whereby limited/routine lifting will be required. However, coordination with various employees within Credit Administration and the Doc Center, combined with the pace of work, will require the employee to leave the immediate desk area frequently to facilitate the duties of the position.
Flexibility to train in Strasburg, VA will be required.
