Job Summary:

This role focuses on internal operations, financial support, and administrative coordination, creating a well-organized and mission-driven environment that supports the church’s ministries and activities.

The Administrative Coordinator is responsible for managing the day-to-day internal operations of the church, overseeing facility usage for internal events, and providing comprehensive administrative support to ensure the church runs smoothly. This role will also assist with financial tasks, including counting money, coding expenses, making bank deposits, and handling payments. By maintaining efficient office operations, the Administrative Coordinator plays a key role in supporting the mission and ministries of the church.

Primary Responsibilities:

1. Office Management & Administrative Support

Manage the day-to-day operations of the church office, including answering phones, managing correspondence, and maintaining records and files.

  • Provide administrative support to the Senior Pastor and ministry leaders by coordinating schedules, setting up meetings, and assisting with ministry-related activities.
  • Assist with the preparation and organization of materials needed for meetings, internal events, and ministry projects, ensuring a seamless experience for all participants.
  • Oversee general office tasks such as ordering supplies, maintaining inventory, and creating a welcoming office environment.

2. Financial & Payment Processing Support

Count and accurately record incoming financial contributions, ensuring proper coding and documentation of all transactions.

  • Make regular bank deposits and handle the processing of payments and bills, working closely with the finance team to ensure accurate record-keeping and financial accountability.
  • Assist with basic financial reporting tasks, as needed, to support the church’s financial transparency and stewardship.
  • Maintain confidentiality and integrity in all financial matters, ensuring compliance with church policies and procedures.

3. Internal Facility Coordination & Scheduling

Oversee the scheduling of internal church activities and meetings, such as church council meetings, ministry gatherings, and room setups for Sunday mornings and other events.

  • Maintain and manage the church’s internal calendar, ensuring that all rooms and facilities are appropriately booked and prepared for internal events and programs.
  • Collaborate with ministry leaders to understand and fulfill room setup needs, equipment requirements, and logistical support for internal events.
  • Serve as the main point of contact for internal facility usage, ensuring that the church operates smoothly and efficiently.

4. Coordination & Collaboration

Serve as a central point of coordination for internal church communications, ensuring that schedules, room bookings, and other logistical details are clearly communicated to relevant ministry leaders and staff.

  • Collaborate with other church staff to ensure smooth execution of internal programs and events, providing administrative support as needed.
  • Act as a liaison between internal ministry teams to facilitate cohesive planning and execution of internal church activities.

5. Flexible Administrative Coverage

  • Adapt to changing needs by providing cross-functional administrative coverage for other roles when necessary, ensuring the church’s day-to-day operations remain uninterrupted.
  • Be prepared to assist with additional administrative duties as assigned, offering flexibility and a willingness to support the overall success of the church’s ministries and operations.

Qualifications:

Education & Experience: Prior experience in office management, administrative support, or finance-related roles, preferably in a church or nonprofit setting.

  • Skills & Abilities:
  • Strong organizational skills with the ability to manage multiple tasks, prioritize work, and maintain attention to detail.
  • Excellent verbal and written communication skills, with a professional and welcoming demeanor.
  • Proficiency in office and financial software (e.g., Microsoft Office Suite, QuickBooks) and basic accounting or financial management experience.
  • A collaborative spirit and willingness to work closely with church leadership, ministry teams, and staff.
  • Commitment to the mission and values of the church, with an understanding of the unique needs and dynamics of church administration.

Job Type: Part-time

Pay: From $21.00 per hour

Expected hours: 20 – 25 per week

Schedule:

  • Weekends as needed
