Business Coordinator

Location : Gallatin, TN

Schedule : Full-time | Monday – Friday | 7 : 00 AM – 4 : 00 PM

Salary Range : $40,000 – $60,000 per year

First Call Direct Hire Recruiting is seeking an experienced Business Coordinator to support daily operations and ensure seamless business processes. The ideal candidate is highly organized, proficient in administrative tasks, and excels in reporting and customer interactions.

Key Responsibilities

  • Answer and direct phone calls to appropriate team members.
  • Maintain and organize business files for accuracy and accessibility.
  • Prepare reports, letters, and business documents.
  • Sort and distribute mail accordingly.
  • Follow up with customers as needed.
  • Report daily and monthly sales metrics.
  • Collect and manage customer resale certificates.
  • Coordinate deliveries with drivers.
  • Manage backlog and send daily sales metrics reports.
  • Create and maintain a weekly inventory email.
  • Register for trade shows and industry events, coordinate packing and booth setup.
  • Perform weekly production board and key audits.

QuickBooks Tasks

  • Invoicing and entering sales orders.
  • Generating daily metrics reports.
  • Qualifications

  • Positive attitude and a commitment to providing exceptional customer experiences.
  • Familiarity with standard office procedures, including filing, mail handling, and directing calls.
  • Strong computer literacy, including Microsoft Office (Word, Excel, Outlook) and QuickBooks.
  • Efficient typing skills for data entry, emails, reports, and correspondence.
  • Excellent verbal communication for engaging with employees, customers, and business contacts.
  • Customer service mindset with a professional and friendly demeanor.
  • Strong organizational skills and ability to multitask in a fast-paced environment.
  • Attention to detail to ensure accuracy in record-keeping and reporting.
  • High integrity and discretion when handling sensitive company and customer information.
