The Loan Servicing - Collateral Management Specialist performs the day-to-day operation of the Collateral Management Department and provide support to the branches and customers. They provide administrative support needed to manage the receipt, tracking, follow-up, recording, and storage of collateral documents and assist in the researching and obtaining of missing collateral documents.

The Loan Servicing - Collateral Management Specialist performs the day-to-day operation of the Collateral Management Department and provide support to the branches and customers. They provide administrative support needed to manage the receipt, tracking, follow-up, recording, and storage of collateral documents and assist in the researching and obtaining of missing collateral documents.
Duties And Responsibilities
- Coordinate obtaining, tracking, follow-up, and storage of collateral documents.
- Assist with researching issues regarding collateral files and documents.
- Process continuations for Uniform Commercial Codes (UCC).
- Assist Legal Department with subpoena and research requests.
- Ensure collateral documents are imaged as received.
- Provide support to departments within the Bank relative to collateral documents as needed.
- Work incoming missing documents to identify documents for indexing.
- Perform necessary procedures to perfect collateral types including Deed of Trust, Assignment of Rents, Lienholder Statement (WV), DMV titles, UCCs, etc.
- Identify post-close errors, documentation deficiencies, and/or eligibility violations and work through to resolution with appropriate department(s).
- Assists with department special projects.
- Assist in identifying and implementing process/procedure improvements to ensure timely and accurate reporting.
- Assist internal as well as external customers in a timely and professional manner.
- Provide general back-up as needed within the Loan Operations area and provide additional requests as necessary.
- Process Batch Transaction Entry (BTE) files and print checks.
- Pull over and import new loans to OPUS program. Print labels. Move e-sign loans on Loan Operations tracking and give folders to Paid Out Department to check in with loans files to go to Bluefield vault. All other folders go in new loan box to hold until files are received.
- Work all loan files received from FedEx. Review for collateral. Add any missing documents and file any liens as necessary. Let lender and processor know if documents need corrected. Change status on Loan Operations tracking and give to Imaging.
- Work original renewals/change in terms/substitutions for collateral. Add any missing documents to document tracking and file any liens as necessary.
- Make a daily vault trip to deliver and file new loan files and pull closed loans per email from JHA Know.
- Work paid out files including verifying payoff, reviewing file for special instructions and cross collateralization, completing certificate of satisfaction according to the appropriate state laws, processing checks and mailing release to the appropriate clerk's office, mailing paid note to the customer, submitting Life of Loan Tracking cancellation on flood determination, and updating loan status on Loan Operations Tracking System
- Update lienholder statements for the state of WV.
- Perform quality control of paid out files on Synergy and report discrepancies to Document Management.
- Assist with payment posting as necessary.
- Work Track-Its assigned to Loan Operations
- Log in/out loan files to OPUS system.
- Perform review of daily report for 85/86 tran codes.
- Work up courier and FedEx boxes and disburse.
- Complete training, as assigned, within the expected timeframes.

- High school diploma or equivalent
- Three years of banking experience with progressive responsibilities
- Demonstrated proficiency using banking platforms and common office software and systems
- Strong verbal and written communication skills
- Ability to meet deadlines while working independently
- Strong attention to detail
- Ability to define goals and objectives, organize work, and successfully manage completion of tasks to achieve pre-defined goals and objectives
- Ability to travel, occasionally overnight
- Ability to sit in front of a computer for extended periods of time
