Fuel Talent is partnering with an established and successful venture capital firm in their search for a proactive and experienced Executive Assistant to support their CEO . The Executive Assistant will help ensure that the CEO’s time and resources are optimally deployed by providing a high level of daily forward-looking administrative support to the CEO, and assisting other key executives with connectivity, efficiency and organization.
Ideal candidates will have calendar management, travel arrangement and meeting coordination experience within a fast-paced dynamic environment. Ideal candidates will also proactively jump in on projects and have extensive experience in issue spotting and problem-solving. This role will support a variety of firm-level activities with particular focus on the CEOs top priorities. To be successful, the candidate will be comfortable thinking critically, asking questions and utilizing the broader team for guidance, rather than relying solely on the CEO.
This is essentially an in-office role, 5 days a week in Seattle, Washington or Durham, North Carolina based on candidate’s home location, though the firm relies on the professional judgement of its employees in providing flexibility.
Responsibilities :
- Manage, maintain and optimize the daily calendar for the CEO, handling all scheduling, travel arrangements and meeting coordination. Also provide administrative support, manage scheduling and meeting coordination for other key executives, as needed.
- Assist CEO in maintaining connectivity with firm and stakeholders (without acting as a gatekeeper).
- Gather, organize and provide required materials and relevant information for the CEO’s meetings and events / conferences.
- Thoughtfully consider the CEO and firm’s big picture goals to effectively coordinate meetings and activities with internal and external stakeholders to drive orderly, effective completion of key deliverables of specific interest to the CEO. This critical support includes helping to organize, execute and assist the team by overseeing logistics and providing updates to team members / stakeholders on the status of CEO requests and projects (e.g., marketing initiatives, event planning, etc.).
- Coordinate across West Coast and East Coast time zones with team members, vendors and other stakeholders.
- Ensure the office is running smoothly, stays organized and is well stocked with supplies.

Compensation & Benefits :
The base salary range for this position is $110,000 to $ 120,000 with a target annual bonus of 10%. Starting salary offers will vary depending on a number of factors, including experience, qualifications and education. The client offers a comprehensive benefits package including medical, dental, vision, life, and disability insurance and a 401(k) program with employer match up to 6%. Benefits also include company paid parking, fifteen paid holidays annually and paid time off commensurate with position.
