Trust Administrative Assistant Status Full-Time Reports To Senior Trust Officer Summary

Provide administrative and clerical support to personal Trust Officer(s) in the administration of accounts. Provide expertise to Bank customers in the areas of personal trusts, employee benefits, corporate trusts, tax and investments.

  • High school diploma or equivalent.
  • 3-5 years of clerical experience in accounting or legal field.
  • Word processing/spreadsheet experience required.
  • Strong telephone skills, strong organizational and communication skills, high attention to detail.
  • Strong math skills.
  • Working knowledge of office machines.
  • Ability to perform multiple tasks and ability to work under pressure.

Primary Activities

  • Handle face-to-face, telephone, mail, email, fax correspondence relating to assigned administrative accounts as required.
  • Type letters to customers to assist the supervising officer in communicating relevant and pertinent information.
  • Prepare trust accounting system tickets and general ledger tickets for the transfer of funds to/from customer’s commercial bank accounts.
  • Prepare trust accounting system tickets and general ledger tickets for the deposit of funds/checks to trust division accounts.
  • Prepare check request forms for payments from trust division accounts.
  • Input information into trust accounting system upon acceptance of a new account, help prepare paperwork to set up account.
  • Change information in trust accounting systems to properly close an account
  • Balance, draft and type court accountings and draft and type inventories for filing with the court and taxing authorities
  • Prepare reports and spreadsheets as required
  • Assist Administrator in administration of accounts by performing any other tasks as assigned

Bank Secrecy Act

  • Maintain sufficient knowledge and understanding of the Bank Secrecy Act, Anti-Money Laundering/Anti-Terrorist Financing/PATRIOT Act and OFAC regulations
  • To be able to fulfill applicable requirements and responsibilities under the bank’s related policies and programs.
