Summary: This position is responsible for complex commercial loan administration that requires specialized knowledge, and exceptional client service in partnership with assigned commercial and private bankers. Serve as point of contact/mentor for all Commercial Loan Documentation Analysts and trains new staff as necessary.  

Duties and Responsibilities:

  • Understands and complies with requirements of all laws and regulations applicable to the position
  • Serve as point of contact for all Commercial Loan Documentation Analysts as assigned to ensure accuracy in all commercial loan and deposit files as assigned. This includes scanning and uploading all customer, guarantor, affiliated entity, and loan documentation in the electronic filing system
  • May assist in the training/cross-training of department employees as directed
  • Review loan closing documents for approved SBA 504 loans, including promissory notes, deed of trust, business loan agreements, guarantees, and other required closing documents to prepare for loan funding
  • Coordinate as needed/required with the bank's SBA Lending Team during pre-close, close, and post-close. Thoroughly review third-party documents such as SNDA’s, leases, and corporate documents and make recommendations to management and Loan Officers to ensure the soundness of transactions
  • Coordinate closings directly in-house and with escrow companies
  • Order preliminary title policy, appraisal reports, environmental reports, and other data
  • Set up, process, and monitor commercial loan application packages to ensure that complete files are in place for the creation of loan documentation
  • Review executed loan documents to ensure complete files are in place, and work with commercial loan servicing to coordinate the boarding and funding of new loans
  • Maintain commercial loan files in partnership with assigned commercial and private bankers to ensure documentation is organized and complete in electronic files for third-party reviewers
  • Responsible for accurate data entry in commercial loan origination system to build customer, guarantor, and affiliated entity relationships in the loan system
  • Responsible for accurately scanning and uploading all customer, guarantor, affiliated entity, and loan documentation in the electronic filing system
  • Responsible for ordering third-party reports as assigned in commercial work processes to ensure compliance with FFB policies, guidelines, procedures, and all regulatory compliance
  • Partner with commercial loan underwriting and assigned commercial and private bankers to ensure financial ticklers and covenants are accurate and supporting documentation is collected from customers on time
  • Review and resolve a variety of customer problems/issues regarding bank products and services including (but not limited to) deposits, treasury management, online banking, and loan-related services
  • Support commercial and private bankers in processing loan advances, processing loan payments, coordinating signing dates, and all loan documentation-related work
  • Oversee the collection of fees in association with loan closings in partnership with assigned commercial and private bankers
  • Review insurance documentation to ensure compliance with bank guidelines and alert commercial and private bankers if there are discrepancies between FFB guidelines and the documentation received from the insurance provider/customer
  • Responsible for utilizing third-party vendors to request business and personal credit reports, compliance reports, and other due diligence documentation and ensuring reports are only requested with proper documentation in compliance with all regulations, policies, and guidelines
  • Must maintain a complete understanding of the Bank’s loan documentation policies, procedures, and guidelines
  • Promote and provide excellent customer service by effectively communicating and cooperating with all internal and external customers
  • Provide support in the acquisition of new clientele and the maintenance of existing relationships
  • Perform other duties as assigned

Education and/or Experience:

  • High School diploma or equivalent required; higher degree preferred
  • Minimum of 7 to 10 years of experience in loan documentation required
  • Lead or supervisory experience preferred  

Skills:

  • Understand and can speak knowledgeably about the various loan programs, loan procedures, and loan forms
  • Strong knowledge of commercial and consumer loan documentation, including loans secured by real property, UCC Filings, titled vehicles and equipment, pledged assets, and contracts
  • Required to have strong knowledge and experience with business entity documentation including partnership agreements, trust agreements, corporate documentation, and limited liability companies
  • Must have expertise in dealing with borrowers, escrow, and title
  • Strong knowledge of reviewing and understanding Preliminary Title Reports and escrow documentation
  • Must be familiar with SBA 504 processes and loan packages from loan application, closing, and loan funding
  • Must have strong customer service ethics and team-building skills
  • Ability to prioritize, organize, and produce in a high-volume, deadline-driven production workgroup
  • Must be detail-oriented and self-motivated with the ability to work independently
  • Strong grammar, composition, and analytical skills are essential
  • Proficient in Windows applications, including Microsoft Word, Excel, and Outlook
