First Imperial Credit Union is seeking a highly organized and detail-oriented Executive Administrative Assistant to provide comprehensive support to the CEO and executive team. The ideal candidate will be proactive, adaptable, and capable of managing multiple tasks effectively. This role involves assisting with corporate record-keeping, communication, travel arrangements, and policy development to ensure smooth daily operations.
Essential Functions
- Assists the CEO and executive team with their administrative needs.
- Maintains files of correspondence and corporate records.
- Prepares and distributes board of director monthly financials/board packets, attends monthly Board of Director meetings to record meeting minutes.
- Performs specialized and confidential administrative duties (i.e. research, preparation of reports)
- Maintains control over necessary corporate records for examination by the Supervisory Committee and other authorized examiners.
- Opens executive mail, sorts, and distributes appropriately.
- Makes travel arrangements for conferences and other external meetings.
- Answers phone calls, schedules meetings and supports visitors of the executive team.
- Records, compiles, and distributes various meeting minutes.
- Assists in the scheduling and arrangement of appointments, meetings, conferences, and other activities for the executive team and Board members.
- Maintains the annual calendar for reoccurring credit union events including, but not limited to, monthly board of directors meetings, annual meeting, and strategic planning.
- Serves as a contact for various vendors, ensuring a positive and professional working relationship is maintained.
- Supports the credit union’s focus on growth and member service by attending community events.
- Promotes and maintains confidentiality to protect member, staff, and credit union information.
- Follows all credit union policies, procedures, and requirements in addition to all applicable state and federal laws and regulations.
- Creates and promotes a positive professional image of one’s self and the credit union.
- Maintains existing and writes new policies and procedures as needed
- Assist with Marketing and Business Development
- Plan and coordinate all credit union events (Annual meeting, strategic planning, employee events)
Skills
- Financial (Credit Union/Bank) services industry experience preferred.
- Two-year college degree or equivalent experience required; Bachelor’s degree preferred.
- Excellent professional writing and communication skills.
- Two to five years related experience working in a professional/office environment.
- Strong computer and knowledge of software including Microsoft Word, Excel, Outlook, PowerPoint, and Adobe Acrobat
- High degree of organizational skills.
Compensation and Benefits:
$55,337.00 - $95,880.00
The base salary represents FICU hiring range for this position. Actual salaries will vary and will be based on various factors, such as, skills, experience, and qualification for the role.
Base salary is one component of FICU total compensation package for employees, which may include performance-based incentives, as well as other perks and rewards. FICU also offers health insurance, accident, life insurance and retirement saving plan.
