Job Summary
The Rescue Operations Administrator's role is to coordinate & facilitate job orders for clients, including scheduling manpower for daily, weekly, and long-term jobs, overseeing site specific & general certification eligibilities & compliance, coordinating with other departments, including but not limited to sales, billing, inventory, and training to ensure smooth processes & client satisfaction, communicating with Technicians and Supervisors daily, and more. This position reports directly to the Division Manager
General responsibilities include daily & weekly scheduling for all client jobs, overseeing time/hours and ensuring accuracy for billing, communicating with the Supervisors regarding active jobs, overseeing vehicle assignments for each job, looking ahead at upcoming jobs & making sure manpower is available and eligible with certifications, communicating with technicians and supervisors daily & managing availability schedules, coordinating with Project Managers for job dailies & accuracy for payroll accuracy, overseeing standby technicians, dailies, and more.
The role requires proficiency in F.I.R.S.T.’s custom software, P.A.C.E., as well as other technological proficiencies in Google applications, iPads, and more. The coordinator must also have excellent skills in multitasking, attention to detail, and problem solving.
Duties and Responsibilities Detail Snapshot
- Scheduling technicians and supervisors to jobs through PACE daily
- Coordinating availability & certification eligibility for each job
- Checking job details in PACE & coordinating with sales
- Making changes to job order when needed & communicating with active job Supervisors weekly
- Assigning vehicles to jobs daily and weekly & coordinating with the Inventory/Asset Division for availability
- Coordinating the supply of necessary information & materials needed for each job daily and weekly
- Overseeing dailies for clock-in & clock-out times & working with PMs & Payroll for accuracy
- Managing and scheduling “Site Specific” trainings for necessary jobs
- Assist in coordinating & aligning Technician availability for drug screenings, physicals, etc. for compliance
- Take daily calls for needs in the field, last-minute changes to job schedules, certification needs, and more
- Plan ahead weekly for upcoming jobs & making sure all details are in place for each one
- Plan ahead training for field employees to maintain compliance
Qualifications
Requirements and Competency Qualifications:
- High school diploma or better
- 1-3 years of field experience
- Good people skills
- Ability to analyze information
- Quick decision-making skills
- Above average data entry skills
- Excellent attention to detail to correct oversights and mistakes
- High-level of confidentiality in respect to personal information.
- Extremely thorough in implementation of processes and procedures.
- Ability to develop competent and accurate reports for review by leaders.
- Proficient verbal communicator and team player.
- Excellent organizational skills in respect to files, personal information and software.
