Job Description
First Lonestar Bank, Frisco, TX – Executive Assistant/Loan Assistant plays a vital role in our bank’s commitment to provide exceptional customer service by being kind, genuine, and bending over backwards to serve the relationships we establish. The position is responsible for administrative support assisting the President with various initiatives and objectives. In addition, the position is a part of the lending team and handles the day-to-day management of the President’s loan portfolio of commercial and consumer loans. The position also plays a role in supporting other loan staff as needed.
Primary Responsibilities/Duties
- Provides superior customer service externally and internally while handling all duties and responsibilities of the role.
- Responsible for managing the loan portfolio, overseeing the production of loan documentation relating to the opening, servicing and closing of all loans, and ensuring loans and agreements comply with state and federal laws, regulations and Bank lending policies and procedures.
- Consistently applies superior decision-making techniques pertaining to inquiries, approvals, requests as they apply to existing policies and procedures and keeping within assigned approval limits.
- Assists Relationship Managers and other Bank personnel on department business to coordinate inter and intra-departmental activities, resolves inquiries or issues relating to loan documentation preparation matters, and participates in various internal committees assigned by President.
- Ensures accurate completion of related operational reports initiated by the Bank’s data processor along with internal reports.
- Provides and/or receives information and discusses and/or resolves problems with escrow officers, voucher control company employees, borrowers, outside legal counsel and other personnel.
- Services and maintains investor sold participations and ensures investors are provided reports in accordance with agreements.
- Ensures implementation and compliance to meet security precautions and protect customer loans, collateral, Bank assets and staff.
- Works with lending-related general ledger accounts, and processes entries and miscellaneous corrections.
- Responds to inquiries or refers inquiries to the appropriate department or person, and exhibits the necessary follow through with customers and/or staff involved.
- Assumes responsibility for special projects, gathers data, and prepares reports for Senior Management, audits and other personnel.
- Processes, solves and answers complex customer transactions, problems or inquiries.
- Answers telephones, answers questions and directs callers to proper Bank personnel.
- Assumes responsibility for various department functions in the absence of staff members or in overload situations.
- Treats people with respect, keeps commitments, inspires the trust of others, works ethically and with integrity, upholds organizational values, and accepts responsibility for own actions.
- Assures compliance with all Bank policies, procedures and processes, and all applicable state and federal banking laws, rules and regulations, and adheres to Bank Secrecy Act (BSA) responsibilities that are specific to the position.
- Completes administrative tasks correctly and on time, supports the Bank’s goals and values, and benefits the Bank through outside activities.
- Performs the position safely, without endangering the health or safety to themselves or others and will be expected to report potentially unsafe conditions.
- Attends new client meetings as requested by President.
- Provides required disclosures at application on real estate and consumer loans.
- Assists with the collection of government monitoring information on all HMDA related loan requests.
- Gathers initial information on new loan requests, such as entity documents, customer identification, contact information, financials, tax returns and collateral descriptions.
- Verification of information utilizing online databases including the county clerk, tax assessor, credit bureau, and others as applicable.
- Orders and reviews appraisals, title work, flood certifications and other vendor services as applicable.
- Assists with writing detailed credit memos for new loan requests and renewals.
- Works with credit analyst to complete the loan proposal and facilitate the approval process through loan officer, loan committee, or board loan committee.
- Schedules loan closings and attends closings as needed.
- Contacts current customers to obtain loan file exceptions to review with officer.
- Works coming due loans 60 to 90 days in advance.
- Successfully completes two online tests a month on banking regulations.
- Other responsibilities and duties as assigned.

- Advanced Microsoft Office skills: Outlook, PowerPoint, Word and Excel.
- Advanced understanding of credit reports, customer prepared financial statements, and tax returns.
- Understands and adheres to strict confidentiality rules and regulations regarding customer information.
- Maintain professional reputation of Bank with respectable appearance, dress, and demeanor
- Team player; flexible; proven initiative to assist others without having to be asked to do so
- Adaptability; willingness to learn; work with clients who may have time restraints
Desired Skills/Qualifications
- Five years loan experience, preferably in a credit analyst or loan administrative role.
- A degree in Finance, Accounting, Business, or Marketing or equivalent experience.
- Working knowledge of Abrigo/Sageworks software desirable.
PHYSICAL REQUIREMENTS & WORKING CONDITIONS
Sitting or standing for long periods of time, walking, finger dexterity, repetitive motions, talking, hearing and visual acuity. Professional office environment. Occasional lifting of storage boxes.
