Job Summary:
The church administrator manages the business affairs of the church in a smooth and efficient manner helping the church achieve its missional objectives. The primary functions of the position include bookkeeping, human resources, membership, communications, and facilities/equipment management.
Essential Functions:
Bookkeeping
- Maintains the financial record system for the church
- Handles the disbursements of the congregation (writes checks, records invoices, etc.)
- Issues invoices for accounts receivable
- Manages bank accounts and safe deposit box
- Produces accurate and timely reports for monthly meeting of the Finance Committee; serves as ex officio member of this committee; records and distributes the minutes of this committee; provides input to this committee as requested.
- Maintains all insurance policies and claims
- Oversees and monitors the purchasing procedure and the approval of purchases
- Ensures that ICON files and issues all forms in compliance with IRS, State and Social Security Administration regulations
- Works with the finance committee to prepare the annual budget and implements it upon approval
- Provides any other financial information as requested by officers of the Church Council, committee chairpersons, staff members or Pastors
- Compiles and disperses quarterly and year end contribution statements to donors
- Produces all financial year end reports for the Annual Meeting and the annual ELCA report
- Complies with annual audits of the church’s financial statements
Human Resources
- Check timecards for accuracy and approvals
- Submits payroll information to ICON including new employees and updates
- Administers and maintains records of employee benefits
- Maintains personnel files of employees
- Runs background checks on new staff and any volunteers working with children
Membership
· Maintains and manages membership database and manual membership records
· Tracks ministerial acts and statistics for ELCA
· Processes transfer requests
· Prepares and files certificates for baptisms, confirmations, marriages (filing also with the State of Minnesota)
Communications
- Maintains church calendar
- Keeps record of all meeting minutes
- Ensures information and requests are forwarded to appropriate staff and committees
- Oversees the on-going development and improvement of communication systems
- Manages annual meeting details including creation of annual report and meeting notice
- Creates and distributes a weekly email blast
- Creates and distributes the monthly Messenger
Office, Facilities, and Equipment Management
- Manages office functions and staff, creating functional systems as well as a healthy, hospitable office environment.
- Implements, oversees, and troubleshoots computer and systems problems and, if needed, liaise with IT specialists to resolve problems.
- Train/update staff on any new features/updates to computerized records/bookkeeping
- Oversees management of church building & grounds with cooperation of Property Committee and Church Custodian
- Coordinates building use for public/private events, weddings, and funerals and arranges staff support for such events.
- Assigns and keep track of keys for church property
- Assures that proper computer backup is routinely done
- Purchases, orders, and maintain materials and supplies as needed
- Ensures that the AED(s) are maintained and tested
Other Responsibilities
- Serves in ex-officio capacity on the Property Committee
- Collects information for and files the annual ELCA report
- Attends weekly staff meetings and any other meetings as assigned by supervisor
- Serves as back up for the Office Assistant
- Others duties as assigned by supervisor
Minimum Qualifications:
· Associate’s degree in Business Management (or 2 years equivalent experience).
· 1 year Business Management or Accounting experience preferred.
· Computer proficiency in Microsoft Office with an emphasis in Excel
· Knowledge of or the ability and willingness to learn church administration software
Physical Requirements:
· Must have the ability to sit for extended periods of time; exhibit manual dexterity to dial a telephone, to enter data into a computer; to see and read a computer screen and printed material with or without vision aids; hear and understand speech at normal levels and on the telephone; speak in audible tones so that others may understand clearly in person and on the telephone; ability to understand and follow oral and written instructions; physical agility to lift up to 25 pounds.
