Job Description
Position Title: Office Manager
Responsible to: Pastor and Executive Committee
JOB SUMMARY
The Office Manager works under the direct supervision of the Pastor and Executive Committee of First Lutheran Church to provide support of the day-to-day operations of the church, including social media. In this position the Office Manager will have in-person, telephone, and email interactions with members of the congregation and public and will use a computer, copier, and other office equipment in executing job duties.
PRIMARY JOB DUTIES
Administrative Duties:
- Communication:
- Sort and distribute mail
- Forward emails received at the church’s email account to persons to whom they are directed
- Accurately take phone messages, forwarding messages and handling requests
- Answer the front door
- Maintain Memorial file and send thank you letters
- Place worship attendance cards in file box and place a new card in sanctuary prior to each service.
- Email readings and prayers to the assigned lectors for each service.
- Prepare leaders and put them in sanctuary for Sunday morning.
- Regularly report use of copyrighted and licensed worship materials.
- Prepare with Pastor and send out the weekly Enews.
- Update and edit brochures and other documentation to help promote the church to visitors and other organizations in collaboration with the Pastor.
- Maintain the church Google calendar.
- Schedule groups requesting to use the building, consulting with the pastor as needed in doing so.
- Assist members, staff and visitors as needed, consulting with the pastor as needed in doing so.
- Prepare correspondence and reports for the pastor and council as requested.
- As instructed, update member information in Power Church, the congregation’s member management software.
- Order and maintain necessary office supplies.
- Execute other duties as may be assigned by pastor or executive committee
Social Media Duties Partnering with Pastor:
- Daily overview of all social media sites: Facebook, Instagram, YouTube
- Ensuring accurate information on website & social media
- Promoting upcoming events on social media and creating paid advertising on Facebook.
- Beginning, continuing, and facilitating conversations over social media.
- Managing and updating the website (Wix).
- Continue developing social media strategy with pastor.
- Alerting pastor to any sensitive issues.
- Preparing the PowerPoint presentation for each service, using information provided in the leaders' guide. (Canva)
QUALIFICATIONS
Technical Qualifications
- Proficiency in the Microsoft Office suite including Word, Excel, Power-Point and Microsoft Publisher.
- Working knowledge of Google’s Mail, Contacts and Calendar web-based apps.
- Basic website maintenance knowledge including how to post documents to the website
- Ability to learn Power Church, the congregation’s membership management software.
- Ability to operate the copier.
- Ability to learn and manage the church’s phone system including retrieval of voice mail messages and updating mailbox greetings and messages.
- Social media knowledge and comfort.
- Other skills needed for this job will be taught.

- Maintains appropriate professional boundaries in interacting with staff, congregation members and the public.

HOURS, COMPENSATION AND BENEFITS
Work Hours
The Office Manager will be in the church office during normal business hours as set by the Pastor and Congregation Council, arranging in advance for planned absences, including securing substitutes in consultation with the Pastor.
- Those hours are currently Monday – Friday from 8:00 a.m. to 12:00 p.m. We can work with your schedule.
Compensation and Benefits
This is an hourly position, with a normal 20-hour workweek. Additional hours are subject to authorization by the Pastor. The Office Manager will maintain a timecard and submit it to the Treasurer as instructed. Wages are paid on the 15 and at the end of each month. The position pays between $14-$16 an hour based on experience and knowledge. In addition, there are two days paid time off as well as the following holidays:
