POSITION TITLE: Office Administration Minister
FLSA STATUS: NON-EXEMPT
PRIMARY PURPOSE AND FUNCTION
The Office Administration Minister provides administrative support to the Pastors, and works as a team member with fellow staff members, to fulfill the vision and mission of FMC Trussville.
ESSENTIAL FUNCTIONS/RESPONSIBILITIES
1. Provide administrative support to the Senior Pastor and other clergy/ministers.
2. Manage Church calendar, including resource reservations for vehicles, meeting rooms, and church sites, set door lock schedules on the computer each week to accommodate events, coordinating security schedule with doorkeeper. Send security schedule and event room schedule to appropriate staff each week.
3. Order all office and cleaning supplies and supplies for others as requested.
4. Assists the trustee chairman in working with the cleaning contract service and/or custodial staff for church cleaning, tile floor maintenance, carpet cleaning, and room setup.
5. Coordinate with Trustee Chairman on contract services for repairs as requested, and to obtain bids and/or contract work. Schedule repairs, and coordinate access as needed.
6. Coordinate with Trustees, Fire Marshal and vendors related to inspections and repairs as necessary. Work with the Daycare director to coordinate fire inspections and repairs as needed.
7. Assign keys and maintain key identification, keeping key issuance and return records.
8. Responsible for producing electronic orders of worship each week, as well as printed worship bulletins/worship schedules and funeral programs. Design and/or print materials for worship and other types of information such as Mission prayer cards, prayer shawl cards, flyers for events, etc.
9. Prepare and distribute hard copies of announcements. Coordinate announcement, newsletter and email blast information with Communications, soliciting information as needed.
10. Maintain Church membership rolls, attendance, and reports using the Shelby system. Prepare transfer letters, forms, baptism, confirmation, and other documents or reports as needed.
11. When necessary, Support Finance and other ministers in preparing end-of-year and Charge Conference reports. Prepare monthly postage reports, and any other reports, correspondence, mailing labels, etc. as needed.
12. Manage church office equipment, including working with Trustees to obtain copier bids, postage machine, etc.
13. Maintain consistent office hours in order to be available to church members, church leaders, and staff while keeping office informed of whereabouts when not in office.
14. Coordinate IT support as needed.
15. Any other duties as requested.
KNOWLEDGE AND SKILLS
1. Minimum three years of successful experience serving as a church secretary or in a comparable position in business or other organization.
2. High degree of professionalism, able to respect and maintain confidentiality.
3. Technology skills in the use of various computer programs such as Microsoft Publisher, Word, Excel, PowerPoint, and Adobe, Shelby systems, Planning Center, including desktop publishing and graphics.
4. Excellent verbal and written communication skills.
5. Strong organization skills; attentive to detail.
6. Self-motivated with a good work ethic; able to manage time and work tasks so that duties are completed in an efficient manner; able to work well with others, and to work under pressure.
7. An understanding of, and commitment to, the church’s mission statement and core values. A non-member of this congregation.
RELATIONSHIPS
1. The Office Administration Minister reports to the Senior Pastor and relates to the SPRC through the Senior Pastor and/or his/her SPRC liaison.
2. The Office Administration Minister trains and works with office volunteers and works with the church staff to provide daily services as needed.
