About the Role:
We are seeking an Executive Assistant to join our team in the Consumer Support Services industry. The successful candidate will be responsible for providing administrative support to the Leadership team, ensuring the smooth and efficient operation of the organization. This role requires a detail-oriented individual with excellent communication and organizational skills, who can work independently and as part of a team to achieve organizational goals. The Executive Assistant will play a critical role in managing schedules, coordinating meetings, and preparing reports.
Responsibilities:
- Manage complex calendars for senior leaders, precisely scheduling meetings, appointments, and events.
- Coordinate travel arrangements, including flights, accommodations, and itineraries (futuristic plans)
- Prepare, edit, and organize documents, presentations, and reports for internal and external use.
- Handle correspondence, including emails, phone calls, and written communication, on behalf of senior leadership.
- Organize and prepare meeting materials, including agendas, minutes, and follow-up action items.
- Attend meetings as needed, capturing accurate notes and ensuring timely follow-through on commitments.
- Aide in providing logistical support to the operations team.
- Support the leadership team in managing special projects and initiatives, ensuring deadlines are met.
- Conduct research and gather data to support decision-making.
- Anticipate the needs and proactively address potential issues.
- Bachelors degree in Business Administration, Communications, or a related field.
- 4 years of experience in an administrative support role, preferably in a fast-paced environment.
- Excellent communication and interpersonal skills, with the ability to interact effectively with individuals at all levels of the organization.
- Strong organizational and time-management skills, with the ability to prioritize tasks and meet deadlines.
- Proficiency in Microsoft Office Suite and other relevant software applications.
- Must be able to maintain a high level of confidentiality.
