Listening effectively involves giving customers the opportunity to speak, providing feedback, asking clarifying questions, and summarizing what you've heard to adequately satisfy the customer's needs.
  • Providing support: It's important that you know how to do your job and that can explain your actions if the customer asks. Effective communication is particularly important if you are unable to complete a transaction yourself, either because of an error or because it's simply not part of your job.

Complaints

One of the best times to use soft skills is during conflict, like when handling customer complaints. Here are some things to keep in mind when a difficult situation arises:

  • Be empathetic - Acknowledge the customer's feelings and apologize for any inconvenience. Do your best to empathize with your customer and allow the customer to express his or her concern.
  • Determine the real problem - Customers voicing complaints may be upset, frustrated, or embarrassed. Listen carefully to your customer and gather all the facts to understand the problem.
  • Ask clarifying questions and paraphrase - Ask relevant, non-threatening questions that will help you to understand the real problem and the real cause of the customer's dissatisfaction. Paraphrase your customer's message to verify you understand the situation, and then say that you want to help fix the problem.
  • Take action - Explain to your customer the solution to the problem and any procedures or policies that may apply to the situation to help him or her understand what is happening and why.
