SUMMARY
Under the supervision and guidance of the assigned Loan Officers: coordinates the preparation of loan documents for closing consumer, commercial, and real estate loans to ensure full compliance and quality of documentation for funding. This position requires employees to work on-site.
QUALIFICATIONS |EDUCATION | EXPERIENCE:

- Candidates must be at a minimum, 18 years of age.
- High School Diploma or GED will be required at the completion of your graduating year.
- 1-3 years’ banking or loan experience with working knowledge in Loan Processing Platform and Appraisal Review is preferred.
- (Internal candidates) Completion of Retail Banking Specialist 1 checklist is required.
- Understanding of banking regulations and responsibilities relating to each including a working knowledge of UCC titles, mortgages and other aspects of the loan collateral position is preferred.
- Previous experience in general administration skills, which include keeping an office organized and running efficiently, is preferred.
- Proficient with Outlook, Word, Excel, typing, 10-key and utilization of the internet is required.
- Willingness to demonstrate Core 5 values with customers and coworkers.
HOURS OF AVAILABILITY: Regularly Scheduled Hours/Week: 40( ) hours per week | Monday – Friday 8:00am-5:00pm | *Extended working hours may be required.
ESSENTIAL DUTIES AND RESPONSIBILITIES
- Facilitate and maintain communication between loan officer, customers, appraisers, attorneys, branch staff, outside vendors, title company closing agents and insurance companies. Ability to effectively present information and respond to questions from groups of managers, clients, customers, and the general public.
- Assist customers and officers with the processing of loan payments, loan advances, construction advances and DDA transfers on the same day as requested.
- Coordinate and organize loan packages prior to documentation, working closely with documentation preparation specialist to ensure approved and renewed loans are documented properly.
- Schedule and perform closings for commercial, real estate, letters of credit for SBA loans transactions and consumer transactions when needed.
- Create and maintain support loan files by working loan exception reports, photocopying pertinent documents, verifying insurance documents, and requesting missing documents.
- Collect all required paperwork and submit to Loan Operations for preparation of loan documentation, including forms for ordering documents for new or renewed loans, flood certificates, title work, appraisal engagements, pulling UCC lien searches and credit reports.
- Ensure all loan documents are complete and accurate according to the entity documentation, loan approvals and policies and procedures prior to CTC approval and borrower loan closing. Send the complete loan package for booking and record all appropriate collateral documents.
- Order title commitments and demonstrate an understanding of the title requirements to be satisfied before closing on residential and commercial properties.
- Prepare correspondence, loan documents, forms, and statistical information.
- Research and prepare weekly reports. Frequently track and resolve outstanding loan exception items and advise assigned loan officer of all loan exceptions.
- Assist and understand the opening process for deposit accounts connected to loans as collateral.
- Gain knowledge in privacy, safeguarding customer information, Regulation B, Equal Credit Opportunity, Truth in Lending, CRA, HMDA, and flood regulations.
- Provide administrative support to the Loan Officer (i.e. scheduling appointments, sorting mail, answering telephones, etc.).
- Provide support in marketing and public relation opportunities within the branch. Cross sell bank products and services, coordinate meetings with other lines of business, and service the banking needs of the customer.
- Adhere to strict confidentiality to maintain customer confidence and protection of bank operations.
- Able to operate computer software and equipment, telephone, scanner, and copier. Expected to become proficient with internal bank software, FIS IS View and Loan Operations Platform.
- Able to hold a driver’s license, have access to reliable transportation for arriving to work on time, work on-site at assigned location, and a willingness to extend working hours when necessary.
- Additional duties may be assigned by management.
SUPERVISORY RESPONSIBILITIES: This position has no supervisory responsibilities.

Visual abilities required by this job include the ability to read materials in either a printed format or on a computer screen. The employee must occasionally lift and move up to 10 pounds.
