Job Summary:
The Permit Administrator offers highly organized and detail-oriented support to our construction team in managing and processing permits for various construction projects. The position plays a crucial role in coordinating with regulatory agencies, ensuring timely permit applications, and maintaining accurate records of all permits required for project compliance. The Permit Administrator will work closely with project managers, contractors, and local government agencies to ensure smooth and efficient permit acquisition processes.
Supervisory Responsibilities:
- This position does not include direct supervisory roles at this time.
Key Roles and Responsibilities:
- Permit Application & Management:
o Prepare, submit, and track permit applications for construction projects, ensuring all documentation meets local, state, and federal regulations. Includes monitoring, negotiating, and assisting with all variance applications that must be submitted.
2. Communication & Coordination:
o Act as the primary liaison between the company, local authorities, and regulatory agencies to ensure all permits are acquired in a timely manner.
3. Document Management:
o Maintain accurate records of all permit applications, approvals, and renewals, ensuring all required documentation is up to date and readily accessible.
4. Regulatory Compliance:
o Stay updated on changes to local building codes, zoning laws, and environmental regulations to ensure compliance throughout the permitting process.
5. Project Support:
o Assist project managers with permit-related queries and work with them to resolve any permitting issues that may arise during construction.
6. File & Database Maintenance:
o Organize and update electronic and physical filing systems for permits, licenses, and related paperwork.
7. Deadline Tracking:
o Monitor and track deadlines for permit renewals and ensure timely processing of any necessary amendments or extensions.
8. Customer Service:
o Provide excellent customer service to internal and external stakeholders by addressing permit-related inquiries in a professional and timely manner.
- Administrative Support:
- Copy, file, and retrieve materials related to permitting as needed.
- Relay changes to relevant parties.
- Other Duties:
- Perform additional tasks or projects assigned to support the team and organizational objectives.
Required Skills and Abilities:
- Proficiency in Microsoft Office Suite (Excel, Word, Outlook); experience with Builder Trend is a plus.
- Professional demeanor and the ability to interact effectively with customers, team members, and regulatory agencies.
- Excellent communication and interpersonal skills.
- Strong organizational and time management skills with exceptional attention to detail.
- Ability to work independently and adapt to a fast-paced environment.
- Knowledge of local, state, and federal building permit regulations (preferred).
Education and Experience:
- High school diploma or equivalent is required; an Associate’s degree in a related field or administrative certification is preferred.
- One to two years of administrative experience, preferably in construction or a related field.
- Experience with permits and regulatory processes is highly desirable.
Physical Requirements:
- Prolonged periods of sitting and working on a computer.
- Occasional site visits.
- Ability to occasionally lift up to 15 pounds.
Job Type: Full-time
Pay: $22.00 - $26.00 per hour
Expected hours: 40 – 45 per week
