Job Description
SUMMARY
The Mortgage Servicing Loan File Retention Analyst position requires strong organizational skills, meticulous attention to detail, knowledge of relevant regulations regarding loan document retention periods, proficiency in document management systems, and the ability to accurately identify, categorize, and store loan documents according to established retention policies. The Analyst is also responsible for safeguarding the documents according to established policies.
MAJOR DUTIES AND RESPONSIBILITIES (ESSENTIAL FUNCTIONS)
- Receiving, sorting, and distributing incoming and outgoing mail within our office, ensuring efficient delivery by categorizing mail based on address, department, or other criteria, and may also maintain records of mail movement within the company.
- Categorize and systematically organize large volumes of loan documents based on loan type, borrower information, and relevant dates. This will include labeling and generating reports.
- Request documents from Master Document Custodians for release after mortgage loan is liquidated and mail collateral documents back to borrower after loan is paid in full.
- Maintain tracking logs and/or updating MSP Notes for incoming and outgoing documents.
- Complete file and/or research requests received from various servicing team departments
- Adhere to federal and state regulations regarding loan document retention, including the Consumer Financial Protection Bureau (CFPB) rules, Fair Credit Reporting Act (FCRA), and other relevant laws depending on the loan type (mortgage, commercial, etc.).
- Complete audit requests as needed
- Adhere to proper recordkeeping practices, including file naming conventions, indexing, and retention schedules.
ADDITIONAL DUTIES AND RESONSIBILITIES
- Perform other duties as requested by Executive Management or Supervisor.
- Complete all required compliance training on a yearly basis.
- Adherence to all First United Policies and Procedures.
- Maintain professional attire
- Recommends to supervisor possible methods to improve department. Process.
EMPLOYEE SPECIFICATIONS
To perform this job successfully, an individual must be able to perform each essential duty satisfactorily. The requirements listed below are representative of the knowledge, skill, and/or ability required.
Education and Work Experience
- High School Diploma or GED equivalent required.
- One or more years of Mortgage Servicing in a mail room or recordkeeping team environment
- Expertise in electronic document management systems (EDMS) to efficiently file, retrieve, and manage loan documents digitally.
- Ability to maintain accuracy with attention to detail and in accordance with local, state, or federal guidelines.
- Ability to perform mathematical calculations and work accurately with numbers.
- Effective verbal and written communication skills.
- Effective computer skills.
- Ability to think independently and make appropriate decisions.
- Ability to perform multiple tasks through effective prioritization and time management and demonstrate attention to details.
Technical/Functional Competencies
- Strong Alphanumeric and 10 key Data Entry (8,000 kph)
- Experience with MSP
- Experience with Encompass
- Strong Microsoft Excel
- Microsoft Word, Teams and Outlook
