Church Office Manager
Job Description
The Church Office Manager is a part-time position (16 hrs/wk), which has a central role in the church’s ability to fulfill our mission/vision. As part of the pastor’s team, this member of the church staff oversees the operations of the church office, a hub of the church that provides support services to the church’s ministries and the pastor, maintains records, and coordinates church communications.
The church office hours are 9:00 a.m. – 1:00 p.m. Monday through Thursday.
ESSENTIAL FUNCTIONS with Key Responsibilities
Receptionist
· Assist people who walk through door
· Answer phone
· Respond to emails
Building Use Coordinator
· Maintain master church calendar
· Schedule and service all building-use requests
Communications
· Design, publish, upload, and mail The Courier (bi-monthly newsletter)
· Design, publish, and upload the Express (weekly digital newsletter)
· Maintain Constant Contact database
Data Base
· Fulfill Membership Secretary responsibilities (digital & hardcopy recordkeeping, reporting)
· Routinely update church database
· Print directories quarterly
Worship Related Responsibilities
· Develop and print weekly announcement inserts
· Complete, print, and fold weekly worship bulletins
· Make nametags for new members and constituents
Office Management
· Inventory and order office supplies, as needed
· Oversee maintenance and repair of office equipment
· Maintain church files
· Coordinate with Pastor, Bookkeeper, and IT to keep office procedures running smoothly
Clerical
· In concert with the pastor, oversee the completion and submission of year-end reports
· Prepare materials for quarterly Church Council meetings and annual All Church meetings
· Provide secretarial support for pastor as needed
MINIMUM QUALIFICATIONS
· High School diploma or equivalent
· Pass the security screening process
· Proficiency in using a Windows PC (currently Windows 10), including Microsoft Office programs – Word, Excel, Publisher, Outlook, and PowerPoint. The ability to master other software programs related to the job; e.g., UMOI People Portal & Church Dashboard, Constant Contact, and Servant Keeper database.
· Basic writing skills – spelling, grammar, editing, etc.

Pay: From $18.00 per hour
Expected hours: 15 – 20 per week
