Main Function: The primary responsibility of the Office Manager of the Weekday Children’s Ministry is to maintain a positive administrative environment for employees, parents, and children. The Office Manager's responsibilities include greeting visitors and providing general administrative support to the ministry, ensuring smooth daily functions and compliance with state regulations as well as maintaining financial and operational efficiency. The Office Manager is expected to support the Director and Assistant Director by using their gifts and talents to benefit the program.
Key Responsibilities:
Administrative Management:
- Maintain accurate records of children’s enrollment, attendance, and medical information.
- Manage licensing and compliance documentation.
- Assist with communicating with staff & parents, including emails, newsletters, and announcements.
- Assist with maintaining staff schedules, payroll records, and timekeeping.
Financial & Business Operations:
- Process tuition payments, invoices, and budget reports.
- Handle billing inquiries and payment tracking.
- Order and manage office and classroom supplies.
- Assist with financial reporting and bookkeeping duties.
Customer Service & Communication:
- Serve as the first point of contact for parents, teachers, and visitors.
- Address parent & teacher concerns and escalate issues as necessary.
- Coordinate tours for prospective families and manage enrollment inquiries.
Facility Coordination:
- Ensure compliance with health, safety, and state regulations.
- Oversee maintenance requests and facility needs.
- Assist in organizing events and daycare activities.
Qualifications & Skills:
- Experience in office administration, preferably in a childcare setting.
- Strong organizational and multitasking skills.
- Proficiency in Microsoft Office (Word, Excel, Outlook) and daycare management software.
- Knowledge of childcare licensing regulations is a plus.
- Excellent communication and interpersonal skills.
- Ability to handle sensitive information with confidentiality.
Education & Experience:
- High school diploma or equivalent (Associate’s or Bachelor’s degree preferred).
- 2 years of administrative or office management experience, ideally in childcare or education.
Additional Responsibilities
- Assist teachers with classroom clerical needs, such as making copies, printing, laminating, and preparing juice and snacks
- Open and close center
- Operate with a spirit of hospitality in all interactions
- Assist in giving breaks and lunches to teachers, helping in classrooms as needed
- Demonstrate initiative for ongoing improvements
- Other opportunities assigned by the Director, Assistant Director, or Church Administrator
Job Type: Full-time
Pay: $12.00 - $14.00 per hour
Expected hours: 40 per week
